Grants Administrator/Program Coordinator
Reporting to the Assistant Director of the African Studies Center (ASC), with accountabilities to the Director of the Center and the Executive Director of the School, the Program Coordinator assists with all administrative and program matters. This includes program administration, event planning, financial management, supervision of student employees, faculty appointment processing, coordinating, and marketing, website maintenance, financial aid processing, outreach, and other duties as assigned.
Finances:
a. Monitoring and forecasting of all restricted (Gifts and Endo,ents) and unrestricted accounts.
b. Supports the Assistant Director in their management of sponsored reseClienth projects. Assists with preparation and submission of grant and other funding applications, data collection, post award administration of sponsored reseClienth projects, and financial reporting as needed in coordination with the Assistant Director, Director, and PAFO (Post Award Financial Operations).
c. Prepares and submits disbursement requests, invoices, shopping carts, requisitions, honoraria, student payroll, and travel reimbursements. Coordinates the annual financial aid and fellowship awards by collecting and organizing applications and tracking applicant data in service to the Financial Aid Committee.
Administration and Operations of the Center:
a. Coordinates logistics for ASC events, including marketing, guest travel accommodations, catering, room reservation and setup.
b. Manages ASC purchasing of all supplies, educational materials, and equipment for the Center and its programs and provides recommendation on equipment purchases.
c. Coordinates with Director of African Language Program (ALP) and ALP faculty to schedule classes, book classrooms, coordinate student evaluations, and other activities related to the academic offering of the center.
d. Maintains ASC facilities in coordination with the Director of Finance and Administration of the Pardee School. Provides facilities planning on routine maintenance issues and IT needs in ASC offices, classrooms, and community spaces.
Outreach and Communications: Working with the Pardee School Communications and Marketing Associate:
a. Manages the ASC website to ensure content remains up to date, including staff, faculty, and reseClienth affiliate lists, and creates website content including event announcements, event highlights, faculty news, and announcements of reseClienth and funding opportunities.
b. Maintains ASC social , accounts; corresponds with academic units and student groups affiliated with the ASC; works with Pardee staff to promote African studies courses, language courses, and programs to BU community and Boston Consortium members; and manages the marketing, publicizing, planning, and scheduling of lectures, conferences, and other events.
Attends campus events and major events including the Annual Meeting of the African Studies Association, UMass Africa Day, and Africa Day at Boston Common to promote ASC programs and activities at the discretion of the Director.
Requirements:
B.A./B.S. required,
Three to five years in higher education, and/or project management.
Grant management experience required.
Strong organizational and problem-solving skills and keen attention to detail.
Strong verbal and written communications skills. Proficiency in Microsoft Office, particularly Excel.
Requires flexibility and adaptability to new technology in a changing environment and a baseline understanding of project management phases, techniques, and tools. Familiarity with SAP/Concur, managing social , (Facebook, Twitter, Instagram), and Mailchimp is a bonus but not required.
Ability to prioritize multiple projects and work well under pressure in a fast paced, rapidly evolving environment.
Hybrid - can be 1 date remote after 2 mos
