Grant Accountant – On-Site Role (Miami, FL)
Vaco is partnering with a well-known non-profit organization to hire a Grant Accountant for an on-site position in Miami, FL. This critical role supports the organization’s financial integrity and grant management while contributing to budgeting, auditing, and overall operational success.
Position Summary:
As a Grant Accountant, you will work closely with the CFO and cross-functional departments to manage financial operations, ensure compliance, and align with the organization’s goals. Your responsibilities will span across accounts payable/receivable, reconciliation, financial reporting, grant management, and budgeting.
Essential Duties and Responsibilities:
Accounts Payable and Receivable:
- Process payments to vendors, ensuring appropriate account assignments.
- Manage the vendor purchasing and invoicing system.
- Issue checks to vendors and process scholarship requests.
Reconciliation and Financial Reporting:
- Reconcile bank accounts monthly and address inquiries with financial institutions.
- Maintain and reconcile all balance sheet accounts, including investments and corporate credit cards.
- Collaborate with the Development team to reconcile accounts in Raisers Edge, including grants and donations.
- Prepare journal entries and assist with monthly closings and financial statement preparation.
Grant Management:
- Process monthly billing for public grants, including federal, state, and local reimbursements totaling $1.5M annually.
- Track staff time allocations for grants and generate biweekly grant allocation reports.
- Assist with grant budgets and monitoring processes.
Budgeting and Auditing:
- Support the development and management of the annual organizational budget.
- Prepare audit schedules and provide documentation to external auditors.
Fixed Assets and Tax Compliance:
- Maintain the fixed asset schedule.
- Prepare and distribute year-end 1099 forms to contractors and vendors.
Bank Liaison and Cash Flow Management:
- Serve as a liaison with financial institutions to address ACH, wire, and payment issues.
- Monitor daily deposits and advise the CFO on cash flow needs.
Other Responsibilities:
- Research and interpret financial data to address accounting questions.
- Protect organizational value by maintaining confidentiality.
- Support organizational events and leadership transitions as needed.
Qualifications and Skills:
Education and Experience:
- Minimum 3 years of accounting experience, preferably in a non-profit organization.
- Strong knowledge of GAAP, FASB standards, and Sarbanes-Oxley compliance.
Technical Skills:
- Proficiency in QuickBooks, Raisers Edge, and advanced Microsoft Excel.

- Exceptional organizational skills, attention to detail, and ability to thrive in a fast-paced environment.
- Strong analytical and problem-solving abilities.
- Excellent interpersonal and communication skills.

Work Environment and Physical Requirements:
- Office-based role with occasional responsibilities at event venues.

The individual may also be eligible for discretionary bonuses.
