About the Job
The Government Sales Assistant will be responsible for managing correspondence, organizing contract files, and ensuring compliance with government regulations. The Government Sales Assistant will coordinate certifications, deliveries, and responses to inquiries. The Government Sales Assistant will support security compliance efforts and facilitates invoicing processes and maintain documentation and assists with contract closeouts. This position requires strong organizational skills and attention to detail.
Responsibilities:- Review incoming and outgoing correspondence, maintain, and organize physical and electronic contract files, prepare reports for both prime and subcontractor files.
- Schedule, coordinate, and maintain files for all government certifications to assure completion and timely renewals
- Schedule local government deliveries and create shipping labels specific for address and PO requirements.
- Review incoming and outgoing correspondence, direct inquiries to appropriate lead, & coordinate responses as needed.
- Provide administrative support to CMMC team to ensure compliance with company policies, procedures, and practices. Maintain and organize CMMC documents, electronic Controlled Unclassified Information files, coordinate with team on semi-annual training plans and prepare training materials for approved security group.
- Utilize various government websites and portals to obtain military specifications, item characteristics and drawings. Research and prepare documentation to submit with vendor RFQs and in preparing solicitation packages.
- Research contract, invoice and payment issues and coordinate resolution with team. Submit Post-Award Request (PAR) as need to resolve contract & payment issues. Process orders for direct payment.
- Review incoming correspondence from various locations with government inquiries & coordinate appropriate action.
- Participate in online training and webinars hosted by the govt as needed to maintain current industry knowledge and certifications.
- Prepare documentations, organize, and maintain files to track protest responses.
- Maintain and organize justification packages during the life of the contract and the three-year retention period.
- Review contract awards to ensure compliance
- Complete quality assurance review and forms as applicable
- Prepare and disseminates information regarding contract status, compliance, and modification requests
- Provide documents, contracts, and proof of deliveries to facilitate government invoicing via wawf. Scan proof of deliveries into shared drive.
- Prepare and submit documents to complete contract-closeout
- Research and provide govt requested historical documentation such as invoices, receipts, material certs, test certs, traceability documents, PODS, BOLS, etc.
Education
A high school diploma or GED preferred; trade school or military experience a plus
Experience & Skills
- Requires solid written and verbal communication skills
- Strong analytical, conceptual, and planning skills are required
- Excellent math skills and overall PC literacy (Microsoft Office) are required
- Must be detail oriented, self-motivated, and disciplined with the ability to multi-task
- Must successfully complete a criminal background check, physical, drug screen and E-verify
- Demonstrated mechanical aptitude
