We are currently in search for a Global Facilities Director who will be overseeing our Global offices by interfacing with key on-site staff regularly for general support with their leases, repairs, purchasing needs, etc. (Offices include: Herndon (HQ), Dubai, Ireland, Ottawa, Belgium, Berlin, Sao Paulo, and UK.
Responsibilities:
- MUST BE LOCAL or able to commute to HERNDON, VA
- Manage day-to-day operation of HQ office comprised of approximately 97,000 sf of office building space; oversight of building leases and renewals, or relocation thereof, or decommissioning of same.
- Manage 6 employees across all global offices; provide regular interaction, set annual goals, complete annual reviews, and create team unity to share common practices.
- Liaison with Property Management, building engineers, maintenance crews and day porters daily in HQ.
- Manage all furniture/fixture assets including acquisition, inventory, installation, repair, and disposal; ensure Assistant Controller has list of disposals for removal from inventory.
- Oversee and manage ordering all corporate kitchen and office supplies via shared services.
- Oversee and manage all office space management needs; interact with corporate broker on availability of office space both locally and internationally.
- Coordinate internal relocation projects and individual employee moves; responsible for creation and upkeep of accurate floor plans, identifying all employee seating locations, update photo directory as changes are made, and alert management on vacancy rates as needed.
- Oversight of 3rd party security vendor (Datawatch), ensuring all access doors are in good working order and apprise them of needed repairs; act as ‘first contact’ for after hours security needs; manage building access/egress; provide employees with badges/photo ID’s; oversee satellite office security via location administrators; work on contract renewals with Contracts team.
- Allocate new hire seating locations for Herndon hires by creating each week a listing of new hires and their Herndon seating locations; participate in iNEO each Monday; take photos to create ID badge, upload to Photo Directory. Conduct building tour, provide a facilities overview, discuss sustainability initiatives and ISO requirements, and ensure their new badges are functioning by badging at access sites.
- Solicit and work directly with new facility 3rd party vendors; manage all paperwork to add to AP, Global Supply Chain and Sales Force systems – manage/negotiate pricing for vendor contract renewals; contact vendors as repairs are needed; determine problem, solicit proposals, and create purchase request PRIOR to repairs being done; supervise work, alert affected managers; ‘receive’ service ticket and send to GSC for payment authorization.
- Oversight of, and sometimes project management of, all new domestic and international office construction, remodel, decommission, and/or relocation of all corporate offices; on new projects this includes sourcing vendors and working with architects on assessment of needs, layouts, team adjacencies and requirements, color selections, flooring selections, lighting, along with power requirements (in unison with IT) and oversight of General Contractor.
- For creation of new offices, will interview, select and set-up vendors for internal office support, i.e., office supplies, kitchen services, copiers, cleaning, equipment maintenance, basic repair support, etc. as required.
- Emergency Preparedness – oversee Floor Warden program; identify members on each floor, train on fire drill protocols; work directly with Property Management during drills to ensure safe evacuation of personnel and guests; keep accurate records for audit trail.
- Supervision of all onsite facility contractors and vendors, ensuring that repairs are done and PO’s are closed out with Purchasing. Will demand a service ticket to substantiate all work completed.
- Investigate and resolve complaints from staff, using best judgment on resolutions, while monitoring Facility Requests inbox at all times.
- Provide back-up coverage for reception desk as needed.
Qualifications:
- Must have 5+ years of experience in related field
- Be able to commute to our Herndon, VA location daily as this role is on-site
