Are you an enthusiastic and organized individual with a passion for creating exceptional event experiences? We're seeking a dynamic Global Events Coordinator to join our team and implement effective solutions that will leave a lasting impression on our clients, both locally and internationally.
As a Global Events Coordinator, you'll be a vital part of our Events team, responsible for planning and executing a wide range of events, including meetings, conferences, trade shows, and training courses. From venue selection and vendor coordination to registration management and onsite logistics, you'll ensure every detail is meticulously planned and executed flawlessly.
Key Responsibilities:
1. Build and manage online registration systems, creating reports and providing updates to clients regularly.
2. Serve as the first line of customer service, addressing inquiries, problem-solving challenges, and escalating issues as necessary.
3. Manage all speaker logistics, including collecting deliverables, cross-checking registrations, hotel reservations, and ensuring a smooth speaker experience.
4. Collaborate with clients and organizing committees to plan event scope, format, and administrative procedures, while monitoring progress.
5. Configure and maintain event mobile apps, ensuring accurate and up-to-date information, notifications, and daily maintenance.
6. Manage hotel rooming lists, serving as the main point of contact for hotels and master room blocks.
7. Coordinate event logistics, including venue selection, food and beverage planning, audio/visual requirements, room blocks, registration, vendor liaison, sponsorship, and marketing material coordination.
8. Draft timelines, budgets, CMPs, sponsorship prospectuses, tracking documents, and other event-related communications.
9. Work with vendors to order catering, audio/visual, signage, promotional items, entertainment, photography, travel, and hotel accommodations, ensuring high-quality and cost-efficient events within the set budget.
10. Manage webinars and online events, ensuring technical aspects such as audio and video quality, Q&A management, and smooth speaker transitions.
11. Liaise with event sponsors to ensure their benefits are properly executed.
12. Schedule and attend internal and external event-specific meetings, record notes and action items.
13. Assist with the development of event-related marketing materials and conference websites.
14. Travel onsite to events as needed.
15. Create weekly status reports and post-conference surveys for clients and internal teams.
16. Conduct inventory, purchase event supplies, and manage shipments to events.
17. Set up and manage onsite event volunteers.
18. Provide administrative support to the Events team and manage other projects as needed.
Qualifications:
- Bachelor's degree with a concentration in hospitality management preferred; prior internships in the events/hospitality industry preferred.
- Minimum of 1 year of direct experience in the events/hospitality industry.
- Detail-oriented with effective organizational and project management skills, including the ability to manage multiple projects/tasks and deadlines simultaneously in a fast-paced, deadline-driven environment.
- Self-starter with the ability to work well under pressure, work independently with limited supervision, and possess solid problem-solving, judgment, and decision-making skills.
- Excellent customer service and interpersonal skills.
- Strong writing and editing abilities.
- High level of creativity and a "rolled-up sleeves" working style.
- Flexibility to work independently and as a team player with other departments.
- Willingness and ability to travel domestically and internationally as needed (up to 25%).
- Proficiency with Microsoft Office Suite and the ability to quickly learn new technology platforms and tools, such as Cvent, Wrike, etc.
We offer a competitive compensation package with a target hiring range of $45,000 - $50,000 USD annually, based on skills, experience, location, and other job-related factors.
