DIRECTOR OF OPERATIONS
Location: Glendale
Employment Type: Full-time, Exempt
Salary Range: $57,500 - $70,000 annually
HOW YOU WILL MAKE A DIFFERENCE AT SUN VALLEY ACADEMY
Serve as the operational and facilities leader of the assigned Sun Valley Academy campus, working collaboratively with the site principal and academic administrative team. This position is critical to the successful and efficient running of daily campus operations, including construction projects, IT, special events and risk management. The role requires the creation and safe execution of all school operational systems and ensures implementation and maintenance of clear policies and procedures. The Director of Operations reports to the Chief Operations Officer.
ESSENTIAL JOB DUTIES
-School Operations Leadership & Team Management
- In partnership with the site principal, develop the school-wide operations vision that supports and operationalizes the academic and cultural vision of the school
- Serve in a leadership role and manage the school's strategic and annual planning and budgeting processes
- Hire, manage, coach, and develop school operations team members (including facilities, custodial, grounds, front office, and health services staff, along with vendors) and holds all staff accountable to goals and outcomes
- Manage front office and health services teams to coordinate preventative health services and ensure student immunization compliance
- Manage Athletic Coordinators (per school location); serve as athletics planning team committee member
-Finance & Procurement
- Actively manage the school budget throughout the year by participating in monthly budget meetings to review variances, monitor school spending, and proactively seek opportunities to ensure expenditures are aligned to the school's academic priorities
- Manage school purchasing process by establishing clear systems for employees to request necessary supplies, place orders with vendors, track deliveries, and code and submit purchase orders, invoices, and reimbursement requests
- Manage the school payment process for activity fees and uniforms
- Approve school purchases under a specific financial threshold
-Facilities & Maintenance
- Oversee facilities issues, including maintenance, managing staff/vendors, aesthetics, shared space agreements, and campus safety
- Regularly conduct facilities walkthroughs and collaborate with custodial staff/vendors to ensure that the facility is safe and clean
- Ensure the front office and reception areas are neat, organized, welcoming and has all important parent-facing materials
-Driveline, Food Service & Special Events
- Oversee all aspects of food service, including quality, managing staff/vendors, meal tracking, and compliance
- Oversee all aspects of driveline procedures and set and manage staff duty schedules
- Understand necessary logistics of all off-site field trips and all on-site special events (e.g. transportation, lodging, meals, staffing plan, etc.)
-Technology & Equipment
- Ensure students and staff have access to needed technology and collaborate with selected IT vendor(s) to conduct troubleshooting and plan technology related needs, repairs, and enhancements as necessary
- Lead the school opening/start up processes each year to ensure doors are ready to open and campuses are properly stocked with necessary furniture, equipment, instructional supplies, etc.
- Manage the school's supply and asset inventory (e.g. computers, office supplies, etc.)
-Student Information Systems & Academic Operations Support
- Manage student information system(s) and maintain accurate student data and information to ensure all records are in compliance with federal, state, regional and school requirements
- Oversee the substitute teacher process including participating in substitute interviews, orienting new substitutes to the school, and managing the process by which teachers seek coverage for absences
-Student Recruitment & Enrollment
- Provide support for campus student recruitment strategy
- Ensure parent information sessions, school tours, and enrollment process are tightly planned and executed
-Risk Management, Compliance, and Office of People & Culture Support
- Ensure the school is prepared for emergencies by conducting all drills and training staff on emergency plans
- Partner with The Office of People & Culture on new hire processes and the maintenance of employee files
- Complete onboarding and exit forms for campus employees and partner with The Office of People & Culture on any/all action items surrounding the logistics
- Other duties as assigned
MINIMUM QUALIFICATIONS:
- Bachelor's degree in business administration, education administration, or related field
- At least three (3) years of supervisory, administrative, operations, facilities and leadership experience in an education, corporate or government organization
- Work experience must include planning and development, daily interaction and coordination, and proof of results oriented management experience
- Experience working with underserved communities, families and/or students
- Extreme flexibility, with a strong work ethic and an entrepreneurial spirit to accommodate high levels of responsibility and multiple priorities
PREFERRED QUALIFICATIONS:
- Master's degree in business administration, education administration or related field
