In this role, you will provide advanced clerical and administrative support to ensure the smooth operation of the office. Your responsibilities will include managing incoming and outgoing mail, performing data entry, maintaining office organization, and offering exceptional customer service to visitors and staff.
Key Responsibilities:
- Provide comprehensive clerical and administrative support to maintain the efficiency of office operations.
- Manage incoming and outgoing mail, packages, and deliveries with accuracy, ensuring they are properly distributed to the designated recipients in a timely manner.
- Perform data entry tasks, updating records, spreadsheets, and databases, and maintaining accurate and up-to-date documentation.
- Take responsibility for maintaining office organization, including filing, photocopying, scanning, and keeping workspaces tidy and orderly.
- Greet visitors and guests in a warm and professional manner, ensuring a positive first impression and creating a welcoming atmosphere.
- Answer and direct incoming calls to the appropriate individuals or departments, providing helpful information and assisting as needed.
- Coordinate appointments, meetings, and events, demonstrating effective time management skills to support staff and visitors.
- Oversee routine administrative tasks such as ordering office supplies, managing inventory levels, and ensuring all operational needs are met.
- Utilize office software applications and demonstrate proficiency in various computer skills to complete tasks efficiently.
Qualifications:
- Strong organizational skills and attention to detail.
- Ability to prioritize tasks and manage time effectively.
- Proficiency in computer applications and office software (Microsoft Office Suite, etc.).
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
- Previous experience in administrative or clerical support is preferred.
