Job Description: Job Title: Facilities Analyst
Position supports AP needs for the Facilities Team. This is includes:
• Creating POs and ensuring supporting documentation meets policy requirements
• Monitoring POs to ensure availability of funds – amending as necessary
• Executing Goods Receipts
• Processing PO and non-PO invoices for payment processing
• Monitoring rent and utility vendors to ensure invoices are received and processed timely
• Researching invoice/payment discrepancies
• Assisting with the preparation of twice weekly payment runs
• Liaise with vendors on payment methods to ensure optimal processes
• Provide financial data for annual budgeting process, and budget tracking to Controlling targets
• Assist in troubleshooting AP process gaps
• Assist in maintaining the Chemtrec repository, SDS, and CA258 postings
• Assist in Gensuite, EMS, and department shared drive posting, maintenance, and reporting
• Assist in managing the 1MB Facilities fleet
• Assist in Process/Pay regulatory fees
• Assist with facility-specific assistance to the Corp. Asset/EH&S team as needed or requested, particularly for the Atlanta Home Office. Support shall include: resolving issues associated with building services and landlord relations, coordinating vendor services as assigned (including coffee/vending, mail room, holiday decor, interior and exterior plant maintenance, shredding vendor and records retention vendor), assisting with the coordination and scheduling of maintenance, providing support for meeting and conference room reservations as needed, assisting in management of parking assignments and parking/shuttle-related needs, assisting with employee, guest, and contractor badging needs, assisting with special programs/initiatives and ordering of office supplies.
3-5 years AP/Accounting/Admin Experience, working in a Facilities team environment
Strong written and verbal communication skills
Intermediate Microsoft Office Skills (particularly Outlook and Excel)
Strong organization skills and attention to detail
Ability to work under tight deadlines
