Title: Full Charge Bookkeeper
Reports to: Director of Operations
Supports: Director of Operations, Head of School, Board Treasurer
Job Summary:
A "full charge bookkeeper" is responsible for managing all aspects of the school and board’s financial records, including accounts receivable and payable, payroll processing, bank reconciliations, preparing financial statements, Tuition and Fees Collection, and ensuring accurate tax filings, essentially handling the complete accounting cycle for the school. They oversee all financial transactions, maintain the general ledger, and provide comprehensive financial reporting to leadership and the board. The ideal candidate will be organized, proactive, small business technology savvy, and skilled in multitasking with strong communication abilities. This is an in-person on-site role.
Key Responsibilities:
Key responsibilities of a full-charge bookkeeper:
- Small Business Systems and Technology: Being tech savvy, apply new small business systems and procedures in the school to drive accuracy and efficiency.
- Record and categorize financial transactions: Accurately record daily transactions, including tuition, fees, sales, donations, purchases, expenses, and payroll, into the general ledger.
- Accounts receivable management: Generate invoices, track outstanding payments, and follow up on overdue invoices.
- Accounts payable management: Process vendor bills, verify accuracy, and ensure timely payments. Manages payment approval process.
- Payroll processing: Calculate employee wages, withholdings, and review payroll tax filings.
- 403(b) + FFSA Plan Administration: Process contributions, ensure compliance with rules and reporting requirements.
- Financial Aid: Attend tuition assessment committee meetings and assist families with aid application process.
- Bank reconciliations and investment: Regularly reconcile bank and investment statements to the company's accounting records.
- Financial statement preparation: Generate accurate income statements, balance sheets, and cash flow statements.
- Budget Generation: Partners with the Board Treasurer, Head of School, and Director of Operations on creating and disseminating the annual budget. Including monthly reports on actual spend verse budget.
- Donation Receipt and Reconciliation: Works with Director of Institutional Advancement to properly collect and reconcile donations.
- Works Closely with SAMIS Foundation: Work with SAMIS Foundation on funding, budgets, and annual plan per student. SAMIS Foundation is a funding partner (Donor) to Jewish Day Schools and represents a significant contribution to the school’s operating budget.
- Fees Management and Collection: Manages the process of collecting fees for various activities or events.
- Credit Card Reconciliation: Reconciles Weekly/ Monthly Credit Card Transactions and Receipts.
- Tax preparation assistance: Prepare and file necessary tax returns, including sales tax and payroll taxes.
- Manages Annual CPA Review: Works with assigned CPA to certify and reconcile records for the board.
- Financial reporting: Provide timely and insightful financial reports to management.
- Records Management: NYHS is a paperless records institution. Though some files start as paperwork, all documents are scanned into files for memorialization. Responsible for managing and cleaning up off-site records per records retention policy.
- Accounting software proficiency: Maintain and update accounting software (e.g., QuickBooks) to ensure data accuracy.
- Compliance with regulations: Adhere to all relevant accounting standards and regulations.
Skills and qualifications for a full charge bookkeeper:
- Small business technology experience with systems and new process integration
- Experience in digital reconciliation and paperless processing
- Strong understanding of accounting principles and practices
- Proficiency in accounting software (e.g., QuickBooks)
- Excellent attention to detail and accuracy
- Strong analytical and problem-solving skills
- Ability to work independently and meet deadlines
- Excellent communication skills to interact with various stakeholders
- Relevant accounting certification (preferred)
Qualifications:
- Education: Associate’s degree in accounting required, bachelor’s degree in accounting preferred.
- Certifications: Certified Bookkeeper, preferred
- Experience: Previous experience as a full-charge bookkeeper in a non-profit or educational environment preferred. Minimum 5 Years’ bookkeeping experience required. Will consider experience in lieu of degree.
Working Conditions:
- Hours: Full-time, Monday through Friday 8:00 AM – 4:30 PM with a 30-minute lunch.
- Environment: Office setting within a high school environment, although some activities will require working outdoors.

Compensation:
· This position is a salaried year-round position with a salary range of $60,000 - $68,000
