Job Description
The Fuel Pricing Coordinator will play a key role in supporting the Marine Fuel Procurement team by managing transactional data entry and validating invoices for fuel procurement activities. This entry-level role requires meticulous attention to detail and accuracy, ensuring that prices for various fuel purchase transactions are properly entered into the procurement system. The position is critical for ensuring that correct pricing is reflected in various reports, enabling strategic decision-making across the organization. Accurate data is essential for individual brands to process and pay for fuel purchases based on validated prices. Efficiently handle claims related data to Bunker fuel invoice price discrepancies, ensuring accuracy and compliance with company policies and regulatory requirements. Receive and enter fuel demand forecasts in the system, while managing claims by verifying discrepancies and collaborating with suppliers to ensure accurate records. Additionally, the role involves collaborating with suppliers to collect invoices and ensure that all fuel order prices align with contractual agreements and internal records. The Fuel Pricing Coordinator works closely with the fuel procurement team to streamline data processes and ensure compliance with pricing structures, contributing to smooth operations and precise reporting.
Essential Functions:
Invoice Validation and Data Entry
- Validate supplier invoices for accuracy, comparing them to contractual fuel prices.
- Enter fuel transaction prices and details into the procurement system, ensuring data integrity.
- Conduct regular audits to ensure all fuel purchase orders and corresponding prices match the agreements.
Supplier Communication
- Communicate with fuel suppliers to collect pending invoices and resolve any discrepancies.
Transaction Reporting
- Generate reports related to fuel prices and transaction entries to assist the Fuel procurement team with accurate tracking.
- Provide data insights that assist in tracking bunker fuel costs and expenditures for the global fleet.
- Follow up on missing or incomplete information to ensure timely invoicing and data entry.
Training Objective
- Industry Knowledge: Acquire an in-depth understanding of the fuel industry to enhance Carnival Corporation’s ability to source fuel efficiently across diverse locations.
- Role Proficiency: Master the responsibilities and requirements of a Fuel Purchasing Agent. This ensures that in the agent’s absence, the coordinator can seamlessly assume these duties.
- Career Development: This role has the potential to evolve into a future Fuel Purchasing Agent position
Fuel Demand Forecasting
- Receive fuel demand forecasts from Brands on a regular basis, ensuring the accuracy of quantities and timelines needed for upcoming voyages.
- Enter forecasted fuel requirements into the procurement tool software, ensuring consistency with operational schedules and procurement needs.
- Track and update forecasts as new information is received, supporting the procurement team in aligning fuel supply with demand.
Claims Management
- Assist with claims management by entering and verifying data related to any discrepancies in fuel orders, including quantity, quality, and pricing variances.
- Generate basic claims reports for review by the Fuel procurement team, highlighting key trends or recurring issues for further action
Qualifications:
- Education: bachelor’s degree in Supply Chain, Finance, Business, Engineering or Functional Experience
- Years & or Area of Professional experience: 1-2 years
- Preferred Experience & Type: Cruise Ship operations or cruise ship admin or bunker industry
- Critical Professional related Technical Skills, Computer Skills:

- Global Bunker commodity Markets, Finance, Analytical Skills, Sourcing Skills, Logistics, Demand, and Supply chain skills
Decision-Making:
- Standard: These decisions are those that are repetitive decisions on a recurring basis and are commonly related to daily activities. They are relatively simple, relying on historical data and previous solutions. Examples are: reordering of standard office supplies, handling transactions.
Physical Demands: Must be able to remain in a stationary position at a desk and/or computer for extended periods of time. Requires regular movement throughout CCL facilities.
Travel: Less than 25% with non-shipboard travel likely
Work Conditions: Work primarily in a climate-controlled environment with minimal safety/health hazard potential. May be requested to work a different shift. Other job specific working conditions.
This position is classified as "in-office." As an in-office role, it requires employees to work from a designated Carnival office in South Florida from Tuesday through Thursday. Employees may work from home on Mondays and Fridays. Some positions may require additional in-office time each week and final schedule is determined by your leader. Candidates must be located in (or willing to relocate to) the Miami/Ft. Lauderdale area.
