Pay Grade:GRADE 125: $46,533.26 - $67,473.23 Annual Salary ($22.37 - $32.44 Hourly)
FLSA STATUS: Non-Exempt, Full-Time, 40 Hours Weekly, Eligible for Benefits
GENERAL PURPOSE
This position performs a wide variety of responsible clerical work in support of assigned division which requires specialized knowledge of the legal and proficient use of legal terminology. The position also provides information and assistance to the public regarding departmental policies and procedures. Receives general supervision from management or supervisory staff.
ESSENTIAL JOB FUNCTIONS
- Perform a wide variety of technical clerical functions in support of the prosecution division and provide information and assistance to the public; monitor workload, work activities, priorities, and deadlines.
- Receive general supervision from supervisory staff.
- Act as a receptionist, answer multi-line telephone system, and assist the general public.
- Type, process, and proofread a variety of documents including general correspondence, discovery requests, agendas, reports, memoranda, and statistical charts from rough draft, recordings, or verbal instruction.
- Perform a wide variety of general clerical work including the maintenance of accurate and detailed logs and records, verify accuracy of information, research discrepancies and record information, perform general mathematical equations, adhere to deadlines, and work independently in absence of direct supervision.
- Operate a variety of modern office equipment including copiers, fax machines and computers; input and retrieve data and text; coordinate a calendar of court-related matters.
- Prepare discovery and other documents relative to all aspects of the criminal court process including records and information checks from various sources.
- Maintains prosecutor calendars by monitoring court appearance dates, pleadings, filing requirements, gathering evidence, anticipating changes in litigation and or transaction preparation requirements.
- Cashiering, including receiving payment from the public and documenting fiscal transactions.
- Receive, sort, and distribute incoming and outgoing correspondence.
- Participate in safety and risk management activities; take action to reduce liability to the city.
- Attendance and punctuality are essential functions of this position. Employee is required to work as a team and frequently meet with co-workers and supervisors; employee is required to communicate in-person with the public during office hours; and employee is required to use on-site equipment.
- Perform other related duties as required/assigned.
EDUCATION AND EXPERIENCE REQUIREMENTS
- High school diploma or its equivalent.
- At least two years of increasingly responsible secretarial experience, including experience in a law firm, court, or governmental legal department.
- Certificate from a legal assistant or paralegal educational program or a combination of education and experience.
- Any combination of experience and education that would likely provide the required knowledge and abilities may be qualifying.
SPECIAL REQUIREMENTS
- Possession of, or ability to obtain, an appropriate, valid Utah driver's license.
- Employee will be required to complete NIMS IS100 and IS700 within three months of hire.
