Description: The Front Office Manager plays a pivotal role in ensuring the smooth operation of the administrative functions within our general contracting company. This position is responsible for managing phone communications, processing mail, navigating documents and utilizing software tools such as Viewpoint, Microsoft Word, and Microsoft Outlook. The ideal candidate will demonstrate strong organization skills, attention to detail, and a commitment to excellent customer service.
Document Management:
- Process incoming and outgoing mail, ensuring timely distribution of documents.
- Navigate and manage project related documents within Viewpoint, maintaining accurate records.
Administration Management:
- Answer incoming calls promptly and professionally, directing calls to the appropriate team member.
- Assist team members working in the field with any issues or questions they have regarding company processes.
Office Coordination:
- Maintain organized filing systems for both electronic and paper documents.
- Collaborate with team members to streamline office operations and improve efficiency.
Leadership
- Foster a positive work environment that encourages teamwork and communication.
