General Summary of Duties: Performs various clerical duties for clinical manager, CEO, or  physicians including: answering telephones, taking messages, scheduling appointments, copying, and creating/filing charts.  Responsible for data entry, filing insurance claims, and patient account follow up, as well as monthly reports.

Tasks:

• Oversees daily front office operations and identifies and resolves operational problems
• Supervises assigned front desk personnel
• Coordinates workflow and patient process at the front desk
• Obtains accurate patient information and ensures complete registration forms
• Schedules appointments and procedures
• Collects patient and insurance payments
• Answers and screens phone calls
• Files records in appropriate patient chart sections
• Transcribes letters and creates forms
• Copies patient information
• Maintains office organization and efficiency
• Tracks PDT claims and notifies CEO of errors
• Completes end-of-day reports
• Enters sales into inventory software
• Explains bills to patients and collects past due balances
• Sets up payment plans with patients
• Trains staff on reading EOBs and checking deductible information in eClinicalWorks
• Sends certified mail to patients
• Calls patients to reschedule if a provider is out
• Pays bills and licensing fees for physicians
• Ensures all bills are paid on time
• Maintains ZocDoc and enters appointments into eClinicalWorks
• Sends Healow links to patients
• Checks patients insurance
• Works with IT to maintain computers, iPads, printers, routers, and other devices
• Assign and program alarm with new users
• Fixes clocking errors and approves payroll
• Approves and coordinates time-off requests

Education:  High school diploma or GED. 
 
Experience:  Minimum of two years of administrative assistant experience in a medical office, including basic medical billing experience.
 
Performance Requirements
 
Knowledge: Clinic policies, medical terminology, CPT/ICD-9 coding, grammar, basic arithmetic.

Skills: Operating office equipment, handling paperwork, phone handling, written/verbal communication, gathering insurance info.

Abilities: Typing 50 wpm, working in teams, sorting/filing materials, understanding insurance benefits, responding to changing demands, organizing tasks, communicating clearly, working with little supervision, building effective relationships.

Equipment Operated: Office machinery including computers, fax, dictating machine, calculator, and photocopier. Occasionally lift and carry files up to 20 pounds.  
 
Work Environment: Work performed in office environment. Involves frequent contact with staff and patients. 
 
Mental/Physical Requirements: Manual dexterity for office machine operation including computer and calculator; stooping, bending to handle files and supplies, mobility to complete errands or deliveries, or sitting for extended periods of time. Stress can be triggered by multiple staff demands and deadlines.
