The Office Assistant Provides administrative assistance to Clinic Director, Prescribers, Clinical Nurse Specialists, and Clinical Supervisors as needed and assigned. Assist the Operations Supervisor/CBHI Coordinator with the coordination of WCC intakes and referrals. Maintain oversight of front office operations. Check-in persons-served and collect appropriate co-payments for services rendered.

Responsibilities:
General Statement of Duties: Provide administrative assistance to Clinic Director, Prescribers, Clinical Nurse Specialists, and Clinical Supervisors as needed and assigned. Assist the Operations Supervisor/CBHI Coordinator with the coordination of WCC intakes and referrals. Maintain oversight of front office operations. Check-in persons-served and collect appropriate co-payments for services rendered.
Responsibilities:
- Oversight and upkeep of the reception area.
- Greet, check-in, and direct visitors.
- Verify insurance eligibility online or via an interactive voice response system.
- Input information on new clients into the electronic health record (eHana) system.
- Collect, carefully document, and store co-payment for services.
- Collaborate with Clinicians and Billing Manager on identified service authorization issues such as insurance lapse, units exceeded, technical challenges, incorrect dates, no service authorization, etc.
- Assist clinicians with appointment schedules; both in office and Telehealth.
- Answer and direct telephone calls, provide reminder calls, and confirm appointments.
- Monitor and schedule staff trainings in a timely manner.
- Attend assigned meetings and assist Operations Supervisor to record minutes as requested.
- Coordinate special program events as scheduled by the clinic and/or division.
- Distribute agency policies and other internal correspondence to staff in a timely fashion.
- Develop and maintain various clinic forms as needed or assigned.
- Process and direct daily mail.
- Order and purchase office supplies as requested and approved by the Clinic Director.
- Operate and maintain office equipment and place service and/or maintenance calls as authorized.
- Conduct clinic safety drills and fire drills.
- Secure the building and activate the answering system at the end of each evening shift.
- Provide coverage for Operations Supervisor and Senior Office Assistant, in their absence.
- Complete required employee trainings in accordance with BAMSI policies.
- Perform duties consistent with agency/program policies and procedures
- Execute duties to reflect reasonable safety standards. Universal precautions must be utilized and training obtained in areas that constitute risk
- Perform other related duties as required or as assigned by supervisor or designee
- High school diploma plus 1 year of experience working in an administrative office setting required.
- Understanding and experience with individuals living with mental health/emotional disorders.
- Strong computer knowledge including WORD, EXCEL and OUTLOOK.
- Strong written and verbal communication skills required.
- Excellent office management and business-sense: organizational, telephone, and time management skills required.
- Ability to multi-task in an effective and efficient manner.

- Must have a flexible schedule to assist with coverage as needed.
- Must have reliable transportation and valid driver’s license in state of residence.
