OPENING DUTIES
- Prepare reception for business
- Retrieve voice messages from prior evening.
- Verify that daily schedules are accurate and current and post in designated areas for staff.
- Verify that all established patients' medical records on schedule have been scanned into EHR system, sending any add-ons to Medical Records to scan.
- Verify that all required insurance authorizations are here and accurate for type/s of service/s being provided and date/s of service being provided.
GENERAL DUTIES
- Print out an accurate appointment schedule in hard copy, per doctor, for the following two weeks every Friday or on the last day of every work week.
- Answer all incoming phone calls and route to appropriate department.
- Schedule all patient appointments, requesting and/or verifying insurance and demographic information on file is accurate and current and updating our records when changes occur.
- Assist in obtaining authorizations for office visits when necessary.
- Print and mail New Patient Packet's to new patients prior to first visit, if possible, requesting them to complete packet and bring in upon appointment along with a current list of medications and dosages they are currently taking.
- Acknowledge and greet patients and guests as they arrive.
- Obtain New Patient Packet from new patients upon check-in verifying accuracy and entering into computer, along with providing/obtaining any other forms needed.
- Verify accuracy of demographic and insurance information on all Established patients, obtaining updated forms from established patients upon check-in and enter into computer system, upon receiving.
- Obtain copies of insurance cards, patient photo, and any other info needed as established on the EHR Documentation by Department Policy, and enter into patient records.
- Prior to patient appointment, call insurance company to verify insurance info on file is current, verifying copayments.
- Confirm all patient appointments two business days prior to appointment date.
- Prepare all Patient Packets prior to visit and upon check-in.
- Compile patient superbill, exam notes, and patient packet forms into Patient Pocket and place in Chart-Up Holder for Back Office Techs to begin work-up.
- Prepare Optical Only patients for optical department by entering demographic information, scheduling optical only appointment, and printing Optical Only Packet out for those patients to complete, then scanning into system and referring them to optical for assistance with optical services.
- Verify established patients have completed all EHR forms that have been established since patient's last visit and scan into system.
- Contact all No-Show patients towards the end of that business day to reschedule missed appointment, documenting all no-shows in computerized scheduler.
- Notify doctors and back office staff immediately of all patient cancellations for the day, updating daily schedules at all stations.
- Check in and out with Company answering service in AM, PM, and before and after any mid-day closures.
- Retrieve any voice messages from answering machine and answering service throughout the day.
- Properly document all verbal patient encounters into EHR upon occurrence, following established Company policy as stated in the EHR Documentation by Department Policy.
- Maintain the Insurance Authorization File, scheduling patients in a timely manner upon receiving proper authorization.
