BeOffice is a boutique shared office space with a very cool vibe and a very dynamic community. Located in the heart of Chicago on North Michigan Avenue, we offer over 6,500 square feet of coworking space, phone booths, team spaces, meeting rooms and classrooms to accommodate the many stages of your growth of our clients. Our office environment is fun, productive and collaborative.
We are looking for a charismatic and engaging Front Desk Manager to be the Director of First Impression for our brand, greeting our clients and working with our vendors.
You will represent our brand in a warm and welcoming manner to our clients. Manage guests thoroughly introducing them to our brand and concept, providing tours with always an emphasis in excellent customer service. You will be responsible to up-hold the image of our brand by upkeeping the appearance of our workspace, reception area and amenities.
Responsibilities are, but not limited to:
Clients Management:
- Welcoming new clients and providing tours of the space. Greeting visitors warmly and making sure they are comfortable.
- Following up with clients, after their visit.
- Client customer service.
- Calendar Management.
Front Desk:
- Manage the front desk during business hours, from Monday to Wednesday (from 8am to 1pm or 1pm to 6pm) and Weekends from 8am to 5pm (being flexible, could be less hours).
- Handle phone calls.
- Answer all the emails, prioritizing new opportunities (sales).
- Assist with client’s move-ins and move-outs; prepare and distribute member welcome packets.
- Mail and package handling.
- Ensuring the workspace is clean and organized. Taking responsibility for the presentation and appearance of our reception area.
- Quick response to when the tasks is completed.
- Vendor websites management and updates (easy content)
- Run small charges through our billing system (mail, beverage service, print, copies...)
Requirements:
- Display and maintain a friendly, energetic, outgoing and personable demeanor.
- Exceptional organizational and multitasking skills.
- Be available weekends.
- Prior experience in a hospitality business is preferred. Hold a strong presence and proven experience in customer service in order to deliver a good customer experience.
- Must be comfortable with sales, and upselling environment. Ideally, be self-driven, strong team player and able to work and make decisions independently, as needed.
- Have strong oral and written communication skills and impeccable phone etiquette. Be able to listen to a client’s questions, anticipate their needs, and satisfy every inquiry. Have a heightened sense of organization and be capable of following detailed instructions.
- Demonstrate the ability to multitask.
- Be punctual and reliable. Come to work on time and be flexible with scheduling according to business needs.
- Please note that will be required to work from 10am to 6pm (Monday to Friday) and 2 weekends (4 hours per weekend) a month.
- College graduate preferred, but not required.
