Job Description
- This position exists to create a welcoming, energetic atmosphere for employees and guests through the use of top notch customer service skills; to plan, resource, and execute events for all CCMG departments; and assist other departments as needed.
Roles and responsibilities
Guest and Employee Services:
- As the front-line face of CCMG and the first impression for all who enter our space, it is critical that you meet and exceed their expectations by greeting them, anticipating their needs (beverages, parking validation, directions, etc), and providing high-touch service to ensure they are cared for and comfortable from start to finish.
- Manage Presentation Conference Room schedule and provide overall support for Presentation Conference room, lobby, work lounge, and outdoor terrace, ensuring they are welcoming, clean, tidy, and stocked at all times.
- Become expert on all office coffee/ espresso machines and serve as Barista for staff and guests
- Build extensive knowledge of neighborhood amenities to be shared with staff and guests
- Additional duties as assigned
Event & Administrative Support:
- Ensure all collaboration rooms are reset and restocked at the end/beginning of each day
- Manage availability of drinks and snacks in the work lounge, coffee bars, and hubs coordinating replenishment orders and equipment maintenance as needed
- Liaise with and provide support to other facilities and admin roles
Events
- Primary point person for company-wide events
- Collaborate with stakeholders to develop and execute events including but not limited to:
- Research and propose ideas for food, décor, and other event needs
- Coordinate and negotiate event needs with external suppliers and vendors
- Coordinate event needs with internal departments regarding facility and AV needs
- Develop event timelines, checklists, signage, event communications
- Conduct and/or coordinate event set-up, tear down and follow up processes
- Ensure events are executed on time and on budget
- Create, manage, and maintain an inventory of event equipment (ie tablecloths, tables, chairs, serving utensils, plates, cups/glasses, coffee carafes, chafing pans)
- Create, communicate, and coordinate event policies, procedures, and systems for event execution
- Manage cleanliness and tidiness of all CCMG event spaces, kitchens, breakrooms, and hubs.
Skills
- Excellent people and customer service skills with a knack for hospitality
- Professional demeanor at all times – in person, in writing, on the phone
- Ability to exercise good judgement with sensitive and confidential information
- Knowledge of basic office equipment and software
- Strong organizational and follow through skills with attention to detail
- Excellent troubleshooting and problem solving skills
- Ability to multi-task and work well in a very busy and high profile environment
- Familiarity with music business a plus
EDUCATION:
- High School Diploma Required; Bachelor's degree in hospitality management or public relations is preferred
- 1+ years previous customer service and/or event coordination
