About the Job
Our Front Desk Coordinator will greet and assist a diverse group of internal and external clients via email, phone calls, and face-to-face interaction. This position is a crucial role at our Global Headquarters facility and ensures the highest level of service and attention to detail to all clients and processes.
DUTIES & RESPONSIBILITIES
• Maintain and direct a high volume of incoming calls appropriately
• Politely welcome arriving clients, guide them to their destination, and confirm the individual they are scheduled to meet in a friendly and approachable manner
• Answer basic inquiries, route calls to appropriate personnel and take messages as necessary
• Ability to professionally interact with all levels of Leadership
• Perform other duties such as:
- Maintain schedule for on-site conference rooms
- Writing Letters/Emails
- Provide administrative support as needed
- Mail room functions
- Create badges for new employees
- Assisting with on-boarding preparation as needed
- Stocking Coffee areas
- Ordering and setting up catering/office supplies
- A variety of other related duties as requested
EDUCATION & EXPERIENCE
• Excellent interpersonal, verbal, written, and presentation skills, with the ability to build rapport across all organizational levels.
• Associate's degree (A. A.) or equivalent from two-year college or technical school; 1-2 years of customer service experience in a high-end service industry; or equivalent combination of education and experience
• Experience with basic office administrative procedures with knowledge of use and operation of standard office equipment
• Human Resources classes or experience preferred
REQUIRED SKILLS
• Must have knowledge of a variety of computer software applications including Microsoft Word, Excel and Outlook
• Strong interpersonal, verbal/written, and presentation skills are necessary to perform job at the expected level
• Ability to keep calm demeanor regardless of situations presented and handle many customer demands in a fast paced environment
• Ability to multi-task and re-prioritize responsibilities
• Must possess a passionate attention to detail and the ability to work in a team atmosphere
• Perform in a high paced business environment
• High ethical standards and integrity, along with a proven ability to pivot when necessary
