About the Job
Irvine-based Real Estate Investment and Property Management firm is looking for an experienced Front Office Administrative Assistant with a "take charge" personality to assist multiple department in daily tasks. This role is long term temp and could become temp-hire for the right person. This is an IN OFFICE opportunity.
The ideal candidate will be energetic, organized, detail-oriented, and deadline driven, with the ability to coordinate individuals and successfully manage multiple tasks.
Job Summary
The purpose of this position is to provide administrative support to the front office, construction, accounting and management team with oversight on project documentation preparation; tracking workflow invoice & pay application processing; financial reconciliations and project reporting.
Duties and Responsibilities
Meet/greet vendors and visitors. Front Desk phones.
Manages project documentation and coordinates documentation revisions and distributions.
Responsible for preparing project status reports for the workgroup.
Coordinates meeting scheduling and communications plan regarding the project for project delivery team or workgroup, vendor, and management.
Enters project information and data into project management technology tools (excel, web-based tools or other).
Acts as an administrator for project tracking systems.
Processes documentation for project commitments (i.e. Agreements, Contracts, Work Authorizations, Purchase Orders).
Processes invoices and pay applications.
Assists management in the implementation of and monitoring the adherence to project practices.
Must be Microsoft proficient
Commercial Property Management is preferred.
This position pays $25.00 per hour.
