Position Overview: Seeking a highly organized and detail-oriented professional with a background in Admin, Office Management, or Construction Management. The ideal candidate will possess strong proficiency in Microsoft Office 365, excellent document management skills, and the ability to handle various administrative tasks efficiently. This role is integral to the team, supporting Project Management Information System (PMIS) by scanning and organizing documents.
Key Responsibilities:
- Utilize Microsoft Office 365 products such as Word, Excel, Outlook, SharePoint, Teams, and OneDrive for daily tasks.
- Scan documents of various sizes and in bulk quantities, ensuring accurate digital records.
- Assist with construction industry office processes and paperwork (preferred, but not required).
- Merge documents and prepare finished/final documents using Adobe Acrobat Pro.
- Create and maintain spreadsheets for tracking, organizing, and reporting office or work activities.
- Recognize and replicate formulas in Excel.
- Perform multi-tasking with a keen attention to detail.
- Answer phones and provide directions to office visitors.
- Demonstrate a strong understanding and comprehension of various documents.
Primary Duties:
- Spend the majority of the workday scanning paper documents into our Project Management Information System (PMIS).
Qualifications:
- Proficiency in Microsoft Office 365 (Word, Excel, Outlook, SharePoint, Teams, OneDrive, etc.).
- Experience with bulk document scanning and management.
- Familiarity with construction industry office processes (preferred).
- Expertise in Adobe Acrobat Pro for document merging and finalization.
- Strong skills in spreadsheet creation and management.
- Ability to identify and replicate Excel formulas.
- Excellent multitasking abilities and attention to detail.
- Effective communication skills for phone and in-person interactions.
- Strong document comprehension and organization skills.
