This position is responsible for the overall coordination and management of Tacoma Community College’s Foundations Office and includes donor relations, operations support, scholarship coordination, and prospect research. This position reports directly to the Foundation Executive Director.
The Foundation and Donor Relations Coordinator serves as an integral part of the Foundation’s efforts to support the College in raising friends & funds for TCC. This position is focused in areas, such as marketing, event support and management, gift processing and acknowledgement, administrative support, office support, and database management.
This position works closely with the Foundation Executive Director to execute the goals of the Foundation, that is aligned with both the Foundation’s Fundraising Plan and TCC’s Strategic Plan.
This position is responsible for performing complex administrative duties for the Foundation and acts as a point of contact for donors, friends of the college, administrators, faculty, staff, students, and the public.
This position collaborates with the following individuals:
- Foundation Executive Director and Foundation board president in board operational support.
- Fiscal Analyst and Fiscal Specialist in successfully managing resources directed toward the Foundation.
- Marketing Manager and the department to assess and execute marketing needs for the Foundation.
- Financial Aid Office Scholarship Coordinator for the marketing, posting, maintenance, and awarding of Foundation scholarships.

Essential Functions

Donor Relations (Stewardship, Acknowledgement, Recognition, Engagement) (55%)
Marketing and Communications Project Management (40%)
Coordinate and manage various communication initiatives to promote the Foundation's mission and opportunities. This includes creating, distributing, evaluating, and updating:- Annual reports, newsletters, impact reports
- Email communications, website content, and social media presence
- Story collection for promotional purposes
- Donor recognition efforts (e.g., donor walls, named spaces/items)
- Collateral materials (e.g., brochures, thank you cards)
- Presentation materials (e.g., PowerPoints, promotional items)
- New, recurring, major giving, and legacy society campaigns
- Alumni engagement initiatives
- Special campaigns, such as the 60th anniversary celebration and EMS Lab Campaign
- Internal giving programs
- Direct mail campaigns
- Collaborate with the Foundation Executive Director, Director of Philanthropy, Marketing and other TCC departments, and external contractors to ensure timely completion of projects, alignment with organizational goals, and adherence to the college’s graphic standards in marketing and communication needs for the TCC Foundation
Assist with event planning, setup, logistics, volunteer recruitment, and follow-through for Foundation events.- Support special projects and presentations related to Foundation initiatives, including scholarships, fundraisers, and internal TCC events.
- Manage comprehensive event logistics including invitations, RSVPs, seating arrangements, guest registration, day-of event support, and troubleshooting.
- Collaborate with Event Coordinator, College departments, and stakeholders to oversee event budget, purchasing, rentals, facilities coordination, and overall planning.
- Purchase and manage supplies, refreshments, awards, and event-related materials.
- Coordinate with donors, stakeholders, and departments for award nominations, event invitations, and marketing communications.
Reconcile Foundation procurement payment card records.- Coordinate with budget managers and support staff for Payment Voucher Requests, fund deposits, and donation management.
- Process donations via donor database software, reconcile cash, checks, and credit cards, and manage bank deposits.
- Assist with gift processing information for annual audits, input and track confidential donor information, and reconcile software systems with the Fiscal Analyst.
- Prepare and send correspondence for donation acknowledgements, pledges, gifts-in-kind, and other mailings.
Office Support (5%)
Manage Foundation office operations, ensuring alignment with College policies, including supply management and record-keeping.- Coordinate meetings, manage room reservations, and facilitate team recognition.
- Serve as primary customer service contact for stakeholders, handling inquiries and administrative needs.
- Oversee donor communications, manage email correspondence, and support staff transitions.
- Develop and update Foundation policies and procedures as required to ensure efficiency and compliance.
Provide confidential support to the Foundation Executive Director, managing calendars and scheduling meetings.- Keep the Executive Director informed of important matters requiring review or action.
- Assist the Executive Director and Board President with operational support for board activities.
- Coordinate Board meetings, including scheduling, preparing agendas and documents, recording minutes, and managing meeting platforms.
- Manage board communications, including minutes, financial reports, member orientations, and correspondence.
Manage donor database and electronic file systems for TCC Foundation.- Create queries and reports for donor correspondence, event planning, grant reporting, fundraising goals, and other data needs.
- Coordinate preparation and compilation of reports and records, ensuring accuracy and timeliness.
- Manage Customer Relationship Management (CRM) systems like Raiser’s Edge, Bloomerang, Salesforce, Slate, including maintenance, training, and evaluation.
- Manage and explore capabilities of Awardspring scholarship platform, including donor management and scholarship giving pages.
Prepare and manage donor scholarship agreements, profiles, awards, and donor criteria in Awardspring software.- Calculate annual scholarship awards based on scholarship agreements.
- Manage Awardspring software, including user access, questions, troubleshooting, and evaluating the Awardspring platform.
- Prepare annual scholarship award summaries for donors and Foundation Board.
- Generate scholarship information for reporting purposes.
- Educate students, faculty, staff, and community about Foundation Scholarships through presentations and workshops, and explore additional opportunities to increase awareness and funding for scholarships.
- Support students throughout the scholarship application, awarding, and post-acceptance processes.
- Serve as liaison between TCC Foundation and Financial Aid Office Scholarship Coordinator.
- Assist in creating, updating, and maintaining scholarship policies and procedures.
Generate prospect research reports regularly for Foundation Executive Director, Director of Philanthropy, and other stakeholders.- Utilize CRM data, historical records, search engines, social media, and specialized software (e.g., WealthEngine, iWave, DonorSearch) to compile comprehensive reports.
- Be knowledgeable and communicate regarding prospect research best practices.
- Provide reports in both hard copy and digital formats as required.

Minimum Qualifications
- Bachelor’s Degree from an accredited college or university.
- Experience in donor relations, marketing, event support, operations, prospect research, scholarship coordination, and database management.
- OR equivalent combination of education and experience.
- Proficient with word processing, spreadsheet, database & related business-managed software;
- Understand and have knowledge of foundation, donor relations, and marketing principles and best practices.
Preferred Qualifications- Experience in foundation and donor relations in nonprofit, higher education, or healthcare settings.
- Experience with fundraising and donor records systems, and donor management software, such as Raiser’s Edge, Salesforce, Bloomerang, DonorPerfect.
- Experience with scholarship platforms, such as Awardspring.

Terms of Employment
This is a full-time professional position contracted on an annual basis. The salary is $71,000-74,000 annually. The work hours are Monday through Friday; 8:00 am to 5:00 pm. Hybrid option available. Must be available occasional evenings, nights, and weekends as needed. Summer schedule may vary to four 10-hour days. Work location is Building 6 on the TCC main campus. Flexibility in scheduling is required to meet the needs of the department. Degrees must be from accredited colleges or universities recognized by the U.S. Department of Education and verified by National Student Clearinghouse. International degrees will be verified for U.S. equivalency. A collective bargaining agreement exists and membership in the Washington Federation of State Employees or payment of a service fee is available anytime upon employment. Washington State Legislature allocates funding for this position through the Guided Pathways programs. Employment is contingent upon continued state support.

Eligibility

Waiving Medical Coverage
If you have other employer-based medical insurance, Medicare or TRICARE, you have the option to waive PEBB medical coverage. Dental is mandatory for all eligible employees and cannot be waived, unless enrolled in dental coverage as a dependent under a SEBB (School District Employee Benefits Board) plan.
Flexible Spending Arrangement (FSA) & Dependent Care Assistance Program (DCAP) & LimitedPurpose FSA
FSA & DCAP accounts allow employees to set aside pre-taxed dollars to cover out-of-pocket health care and/or childcare expenses.
Members of WFSE (HE CCC) and WPEA, will be eligible to receive a $250 FSA card if employed as of November 1, 2023 with an annual full-time equivalent salary of less than $60,000, and is enrolled in a non-CDHP medical plan as of January 1 of the plan year that FSA funds are made available. This card is
issued by PEBB in the following January and does not count against the annual FSA limit, if enrolled in an FSA with Navia.
The Limited Purpose FSA is eligible for employees who are enrolled in a consumer-directed health plan (CDHP) that has a Health Savings Account. The Limited Purpose FSA is only for dental and vision expenses.

Life Insurance

PAID LEAVE
Classified staff, Administrators, and Professional staff are eligible for paid vacation, sick leave, and personal leave, along with paid federal holidays. Classified Monthly vacation entitlement amounts can vary from 11.33 to 16.67 hours per month depending on the length of state service. Administrator/Exempt Professional vacation leave is 16.00 hours per month. Monthly sick leave entitlement is 8.00 hours per month based on 100% FTE position and will be prorated accordingly if less than 100% FTE. Annual personal leave entitlement varies depending on employee type. Full-time classified, administrators, and professional staff are paid for all federal holidays.
Full-time faculty receive 84.00 hours of paid sick leave per academic year along with 28.00 hours of personal leave. Full-time faculty are paid on an annual contract and do not receive pay for federal holidays.
Part-time faculty receive sick leave each quarter using a formula based on the total FTE% from the cumulative teaching contracts issued to them that quarter. They would receive 7.00 hours of personal leave if they are issued a multi-quarter appointment at the start of the academic year. Part-time faculty do not receive pay for federal holidays.
Part-time hourly and student employees receive 1 hour of sick leave for every 40 hours worked in a month (and fractions, thereof). Up to 40 hours of sick leave can carry over from one calendar year to the next.
If a part-time hourly or student employee is hired into a full-time position, the sick leave hours earned in the part-time position do not carry over to the full-time position. Part-time hourly and student employees are not paid for federal holidays.
Monthly entitlements are given at the beginning of the following month.
All employees in salaried positions may take up to five days of paid bereavement time off for the death of a family member. This is separate from the sick leave or vacation leave.
RETIREMENT
Retirement participation is mandatory for retirement benefit eligible TCC employees. Employees are offered a choice between two retirement plans and that choice is generally irrevocable while employed at TCC.
Classified Employees and (retirement eligible) Part-Time hourly:Classified employees and eligible part-time hourly employees must choose between the Public Employees Retirement Systems (PERS) Plan 2 or Plan 3. Faculty:

SBVIP is a voluntary, optional, unmatched retirement savings plan, operating under Section 403(b) of the Internal Revenue Code (IRC), administered by TIAA. SBVIP participants may contribute on a pre-tax and/or after-tax (Roth) basis, up to the annual IRS limit and can start and stop their contributions at any time during employment. Tax-deferred savings plan administered by the Department of Retirement Systems. New Full-timeemployees are automatically enrolled in DCP 3 months after hire at a contribution rate of 3%. Employees are sent a notification letter within approximately 30 days of hire. This notice includes information about auto-enrollment and the necessary steps to take if one chooses to opt-out or make changes to their DCP enrollment. Contributions can be changed at any time during employment. Following the initial auto- enrollment possibility, employees would contact DRS to setup contributions and can contribute on a pre- tax basis up to the annual IRS limit.
Tuition Waiver
Administrative, Classified, Full-time Faculty, and Part-Time faculty employed for more than 50% FTE are eligible to register for space-available classes, up to 10 credits per quarter, with the State Employee Tuition Waiver program.
