Job Summary:
The primary objective of this role is to create, coordinate, and maintain standardized administrative forms and form processes across the company. This position will provide administrative form creation expertise to project owners, which includes the development, review, and maintenance of administrative forms while keeping them in alignment with company branding.
Serving as the company’s Subject Matter Expert in the development and implementation of administrative forms, this individual will be the company’s control point, who ensures the ongoing integrity and standardization of administrative forms. Will also partner with eApplication team to synchronize updates to administration forms and the eApplication platforms. Working with a high level of communication with Project Owners and others involved in the approval process, they will identify opportunities to improve, eliminate, and consolidate the administrative forms inventory across the company.
This individual will perform at an expert level of technical skill, demonstrating mastery of the administrative forms design software applications (Forms Admin, Pubnet, FormSource, , Encorr, Ziflow and other applications as needed) as well as the ability to analyze, test and debug business requirements for the selection or generation of forms. They will confer with Project Owners to understand the business requirements and design content for administrative forms including, but not limited to: compliance bulletins, policy forms, disclosures, Life/Annuity applications, schedule of commissions, department forms, and interest rates according to brand guidelines and compliance criteria.
Essential Functions:
- Take inventory of all applicable forms, as well as tagging and otherwise electronically organizing the forms, and categorizing content within.
- The forms must be inventoried/documented in a database, spreadsheet, or another comparable program/tool.
- Make decisions on the archival of forms to minimize inventory maintenance.
- Maintain a database of what content is on what forms; including: deletions, state-specific versions, product feature, etc.
- Keep track of administrative forms and traffic (who has it, how long they’ve had it).
- Audit FormSource, research questionable forms, and make appropriate corrections.
- Creating a holistic look into the administrative forms process for new and existing forms, reviewing, updating, and documenting the procedures, and assisting with making the procedures accessible and understood by those involved in the process.
- Plan and conduct meetings related to document management with business owners, including Senior leaders to coordinate form updates and make recommendations in language for ease of business process.
- Develop the document management plan and update it, as needed.
- Ensure that organizational documents go through a documented and approved review-and-approval process before being stored.
- Ensure the security, accessibility, and proper distribution of organizational documents.
- Develop and enforce documentation design, review, and storage guidelines.
- Create and maintain on going analytics and the reporting of form requests coming in and being completed on a weekly and monthly basis.
- Partnering with eApplication support resources to track updates and maintain administration forms that are also on the eApplication platforms.
- Participate in the user acceptance testing of the eApplication platforms as needed.
