GENERAL PURPOSE:
In accordance with the Department of Imaging Sciences protocols and procedures will perform functions associated with patient information processing for ambulatory care visits .Employee is a member of a super-set team of high functioning clerical staff who are experts in all functions and divisional work flows within the Imaging department as described in the clerical (OAS) job description. Describes, coaches, and reinforces skills in order to provide exceptional service. Perform other tasks as assigned by supervisors and support staff.
**SUPERVISION AND DIRECTION EXCERCISED:**
Responsible for monitoring his/her own performance on assigned tasks. Self-directed: Must make complex decisions independently. Provides instruction to newly hired and/or less experienced OAS staff in order to maintain staff capability. Special projects and miscellaneous tasks as assigned.
**MACHINES AND EQUIPMENT USED:**
Standard and Complex office equipment, Including computer software, telephone, fax, copiers, printers, clinical equipment, pagers, etc.
**TYPICAL DUTIES:**
50% Divisional Coverage as below. Must seamlessly integrate into all divisions as team member into whichever role is short-staffed. Does not takeover when acting as a substitute to area.
TYPICAL DUTIES of Clerical (OAS) Job Function (50%)
Reception:
+ Greet patients to initiate a positive Imaging experience, properly identify patients.
+ Remain visible and accessible to patients.
+ Keep patients informed of schedule progress and delays.
Registration:
+ Confirm or collect patient demographics and financial information to ensure a billable account.
+ Arrive patients in billing and scheduling systems
+ Identify dual patient identification processes using University and departmental policies.
+ Identify and correct registration errors, complete missing registration data.
Scheduling:
+ Schedule/reschedule/cancel visits for walk-in and return visits to Imaging using scheduling systems.
+ Schedule outside studies into hospital and imaging information systems.
+ Monitor exam schedules and report problems or concerns to area supervisor(s).
+ Coordinate patient transportation and interpreter services as needed.
Communication:
+ Coordinate patient to Imaging provider communications.
+ Responsible for courteous and efficient telephone communications.
+ Forward calls, pagers, and take messages
+ Answer call and electronic messages for information requests from patient and providers.
+ Act as information resource for patients.
+ Assist in departmental way-finding.
Medical Documentation Management:
+ Transfer outside studies to PACS or archiving/Imagine sharing applications.
+ Validate pre-requisites for Imaging studies such as: lab results, insurance referrals and study pre-medication.
+ Administer health history paperwork to patients.
+ Administer ambulatory patient surveys.
+ Assist outside entities with obtaining studies for medical/legal use.
Data Integrity Management:
+ Communicate with HIM to obtain accurate patient information.
+ Correct errors in patient study association and patient identification errors.
+ Reconcile patient data when multiple accounts exist to combine records.
+ Digitize outside images.
+ Scan visit documentation and store in information system(s)
.Customer Service:
+ Embody IICare initiative.
+ Treat patients and colleagues with courtesy and respect.
+ Understand and meet the needs of internal customers.
+ Identify areas of improvement, notify supervisor(s) and departmental management.
+ Identify patient needs and services provided; assess patient special needs, monitor reception area to ensure patient comfort.
+ Empowered to make decisions to improve patient satisfaction.
Training:
+ Provide training to new clerical staff in all aspects of department specific work practices including orientation, registration, charge entry, scheduling, reception, image management and customer service.
+ Act as information resource for department clinical staff in regards to all aspects reception/scheduling/registration functions and responsibilities.
+ Attend educational programs and teach newly hired or less experienced staff.
Other:
+ Perform miscellaneous tasks as assigned by supervisor(s).
+ Assist clinical personnel as needed.
25% Main Imaging reception/registration staff
+ Maintain consistent standards of procedures with other super-set team members to ensure positive working environment and exceptionally high levels of service to imaging patients as they enter the department. Rotate this duty with other super-set team members.
+ Document workflows and procedures for departmental use. Maintain current Sharepoint.
+ Monitor daily schedule/attendance and notify supervisor(s) of areas needing coverage.
15% Manages clerical coverage within all divisions of Imaging:
+ Meets frequently with direct supervisor(s) as well as clinical managers if needed, to understand coverage needs.
+ Resolve coverage with super-set team.
10% Assessment and Training:
+ Keep direct supervisor informed with progress of the training of newly hired OAS staff.
+ Maintain own ability to work in all divisions of department.
+ Recommend changes for improved work flor/customer service.
**QUALIFICATIONS:**
High School diploma. 2 yrs related work experience preferred; or an equivalent; medical terminology, office training and experience desired. Exceptional customer service skills. Experienced with Microsoft office and possess the ability to rapidly assimilate and retain multiple complex workflows and computer applications. Ability to type accurately.

**Pay Range**
Pay Range: $17.50 - $22.75 Hourly
_The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations._
