In the role of Fleet Lease Coordinator for heavy duty, commercial, and passenger vehicles, you will be instrumental in overseeing the logistical flow and coordination of a diverse range of vehicles through various stages within our auction facility. This role demands an individual who is detail-oriented, adept at working in fast-paced, outdoor settings, and committed to upholding the highest standards of quality and efficiency, all while meeting customer service level agreements.
Responsibilities:What You Will Do:
- Manage and optimize the flow of heavy duty equipment, commercial, and passenger vehicles on the lot, aiding in the implementation of processes to meet the high standards expected by various sellers. This includes setting up staging areas and ensuring effective communication of changes across departments.
- Play a crucial role in quality control for DE-ID and Detail operations related to heavy duty and commercial vehicles, coordinating with appropriate teams and fleet clients to ensure compliance with standards and client specifications.
- Maintain constant communication and collaborate with auction management, all operations departments, and account representatives to address requests and complaints, provide updates on vehicle conditions and mechanical statuses, and ensure seamless coordination and information flow.
- Work closely with the mechanic shop to expedite work orders for heavy duty and commercial vehicles, facilitating communication between sellers and the shop coordinator.
- Assess condition reports (CRs) for accuracy, ensure readiness for sale, and manage vehicle lineup for auctions with precise and current information.
- Coordinate open work orders, key updates, and vehicle checkouts with the mechanic shop and fleet lease department, maintaining clear communication for efficient processing.
- Guide the lot crew on service standards and responsibilities for handling heavy duty and commercial vehicles, including staging vehicles for sales and adherence to quality standards.
- Support the Operations Manager in lot procedures and sale plan layouts, contributing to the planning process and executing strategies as directed.
- Oversee new inventory for correct announcements and manage work orders across all vehicle types.
- Handle additional tasks such as updating test drives, managing lists of sold units, and operating forklifts for organizational purposes.
What You Will Need:
- Strong communication skills with the ability to effectively collaborate across departments.
- Capability to work primarily outdoors, with extensive walking and inspection of heavy duty, commercial, and passenger vehicles.
- Ability to multitask, prioritize effectively, and adapt to changing priorities.
- Proactive problem-solving and decision-making skills.
- Prior experience in auctions, especially with heavy duty and commercial vehicles, is preferred.
- High school diploma or equivalent.
Additional Duties:
- The role of Fleet Lease Coordinator is not limited to the tasks listed above. Additional duties may be assigned as necessary by the Operations Manager or the management team.
Qualifications:
- High School diploma or GED with at least 1 year of experience in a customer service-driven position, preferably within the heavy duty or commercial vehicle sector.
- Previous auction experience is highly regarded.
- High level of proficiency in communication and email correspondence is essential.
- Bilingual abilities in Spanish and English are advantageous.
- Must be qualified to operate a motor vehicle, including heavy duty and commercial vehicles, and possess a valid driver’s license.
