Position Overview
The Fleet Coordinator is a professional office-based position responsible for full cycle work order management to include, but not limited to, creating work orders, establishing work order priorities, assigning/dispatching technicians based on priority, contacting vendors to schedule repair/maintenance work, overseeing the field service technicians, and ensuring all work order data is complete and accurate in the system of record. This Fleet Coordinator is a heavy volume & fast paced role within a high-performance equipment management organization.

Responsibilities Of The Fleet Coordinator
- Review service requests and create work orders in Computerized Maintenance Management System (CMMS)
- Assign work orders to internal technicians or dealers based on scope of work, warranty status, and/or geographic region
- Oversee all field service activities & technicians
- Accountable for system data quality related to documentation of service/repair work orders
- Review, update, and/or correct work orders daily
- Maintain equipment statuses according to company procedures
- Submit external repair estimates for approval
- Ensure all documentation is complete prior to closing work orders
- Coordinate any rental equipment needs with Equipment Allocation team
- Communicate with all internal & external stakeholders to solve any equipment issues
- Elevate any issues to Fleet Operations Manager for resolution
- Generate and distribute weekly status update reports to applicable dealers
- Adhere to all company policies, procedures, rules and regulations in written or verbal form
- Comply with government safety requirements and other regulations
- Perform other duties as requested
- A minimum 3 of 5 years of experience in heavy equipment service department is required
- Proficient computer skills including MS Office Suite, smartphones, and tablets
- Familiar with basic mechanical scopes of work for Earthmoving & other construction equipment
- Familiarity with scheduling and expediting repairs of a heavy equipment fleet
- Experience with Caterpillar, Komatsu, Volvo, & John Deere earthmoving equipment brands
- Must be people-oriented with the ability to build business relationships
- Exceptional customer service, communication, and organizational skills are required
- High School diploma or GED is required
- Medical, Dental and Vision (Single/Family) provided
