JOB SUMMARY:
We're looking for a detail-oriented Financial Assistant to help keep our studio and production finances running smoothly. You'll be responsible for processing payments, managing invoices, and keeping financial records up to date. This includes verifying vendor details, handling reimbursements and per diems, and updating budgets as payments are made. Reporting to our Director of Finance, you'll work closely with our creative and production teams to ensure expenses are coded properly. You'll also coordinate with our third-party accounting firm for reconciliations and payment requests. This role is ideal for someone who is extremely organized, proactive, and who enjoys working in a collaborative and fast-paced environment.
KEY RESPONSIBILITIES:
- Process monthly studio and production payments with accuracy and timeliness.
- Perform data entry tasks to maintain accurate financial records and documentation
- Verify vendor bank details, W-9s, and other required documents for payment processing
- Update production and studio budgets to reflect processed payments
- Manage production invoices and expenses, ensuring proper documentation and approval
- Handle reimbursements and per diems for production and studio staff
- Facilitate international payments while ensuring compliance with relevant regulations
- Collaborate with production and creative teams to ensure proper coding of credit card expenses
- Code and submit credit card expenses to the third-party accounting firm for reconciliation
- Serve as the primary liaison between the accounting firm and studio staff for payment requests
MUST-HAVES:
- 2+ years of experience in financial administration, bookkeeping, or a similar role, preferably in a production or creative studio environment
- Experience managing payments and reimbursements
- Experience with expenses and/or credit card reconciliation software
- Familiarity with budget tracking
- Intermediate proficiency with Google Sheets and/or Excel
- Excellent organizational and time-management skills with the ability to meet deadlines
- Attention to detail and accuracy in handling financial records and transactions
- Strong communication skills to liaise effectively with vendors, staff, and external accounting teams
- Ability to work from our Los Angeles studio Tuesday to Thursday weekly
- Flexibility and availability to work overtime as needed

- Fluent in Spanish
- Experience using Expensify
- Experience in the entertainment, production, or creative industries
PAY: $30/hour
