Responsibilities
**Position Summary:**
Serves as lead Finance and Grant Manager for the Department of Psychology at the University of Rochester. Reports directly to the Chair. Responsible for the department’s overall financial performance including developing annual operating/capital budget, adjunct budget and financial forecasting. Supervisors staff account and provides approvals on all departmental reimbursements and financial transactions. Serves as grant administrator for multiple grant applications and oversees grant submissions with university grant offices. Understands compliance and regulations of major grant foundations (NIH, NSF) and is CLASP certified. Utilizes university-wide resources to identify targeted grant opportunities. Maintains strong relationships within the University of Rochester’s infrastructure, especially with the office of the Dean of Grants & Contracts.
**Responsibilities:**
**Financial and Budget Management**
+ Directs and manages all financial accounting and reporting for department activities.
+ Establishes, implements, updates, and coordinates all financial policies of the department to maximize internal controls and assure compliance with university policies.
+ Reconciles all financial data for departmental accounts.
+ With latitude for the exercise of independent judgment and initiative manages department’s assets; oversees cash management, journal transfers, and establishment of accounts.
+ Provides chair with financial reports and explanations of same.
+ Recommends policies and actions to maintain the fiscal integrity and growth of the department.
+ Provides financial analysis for growth, forecasting as needed.
+ Collaborates with relevant University office(s) to develop systems for efficient financial management and control.
+ Collaborates with the Deans’ Office for annual department budget close out.
+ Conducts specialized and highly complex analysis of financial data provides recommendations based on research.
+ Keeps abreast of trends as they relate to financial management and adapts new developments into planning, control, and analytical processes.
+ As assigned, assumes responsibility for special projects involving research, planning, and recommending changes.
+ Assumes responsibility for the project, establishes timetables, activity plans and coordinates the efforts of any subordinate staff.
**Proposal Development and Grant Management**
+ Manages functions of Pre-Award through Post-Award grant procedures.
+ Provides detailed financial & administrative information for grant applications and coordinates grant application submission with University grant offices.
+ Provides financial and administrative information for non-grant faculty research accounts.
+ Manages grant applications including creating complex budget spreadsheets, justifications, and projections.
+ Develops supporting materials and outlines grant submission information, requirements, and deadlines. Once a grant is received, serves as staff liaison between department and the University’s ORPA office.
+ Interprets University and sponsor policies to develop guidelines and procedures for department to ensure compliance.
+ Serves as staff liaison between department and the Office of Research Accounting and Costing Standards to ensure grants are monitored and closed out in accordance with sponsor guidelines.
+ Collaborates with Administrator to establish payroll allocations. Devises methods of financial reporting and prepares monthly reports for faculty showing monthly spending and budget projections for life of the project ensuring compliance with budget and guidelines.
+ Accountable for the management of monthly ledgers, ensures data integrity and charges are accurate, with delegated authority develops, departmental policies and procedures.
+ Researches undocumented charges, initiates corrective action and/or reworking the budget, as necessary.
+ Monitors effort on grants and recommends appropriate actions to PI.
+ Manages the summer salary process for all faculty members. Performs ORACS’ annual plan confirmation and cost sharing reports.
+ Maintains internal financial reports to allow for effective comparison of fiscal operations.
+ Accountable for the closeout report process on research accounts and working with faculty on annual progress reports.
+ Ensure full compliance of the University’s Effort Policy.
+ Functions as liaison with University, funding sources and collaborators on financial matters.
**Academic analytics**
+ Receives training on AI-powered analytics system from Academic Analytics consulting.
+ Use knowledge to actively seek out funding and award opportunities for faculty in Psychology.
+ Meets with all faculty members individually once a semester to review targeted funding and awards.
+ Reviews faculty productivity and suggest areas to focus on for development.
**Compliance and Policy**
+ Creates and implements systems for ensuring the Psychology department adheres to and is in compliance with all current University policies.
+ Performs quarterly reviews on current practices and identify areas for improvement.
+ Plans and coordinates all activities related to space surveys, effort reporting requirements, and departmental compliance practices.
**Supervision**
+ Supervises and develops the staff accountant.
**Other duties as assigned**
+ In concert with department chair, works on special projects as assigned.
+ Assumes responsibility for the project, establishes timetables, activity plans and coordinates the efforts of other faculty and staff.
**Qualifications:**
+ Bachelor’s degree in finance, accounting, business administration or related field
+ 4-5 years of progressively experience in finance and grants;
+ or an equivalent combination of education and experience.
+ Organizational skills, attention to detail, motivation and the ability to work independently. Must display proficiency in both verbal and written communication, ability to appropriately handle sensitive and confidential material. Working knowledge of computer applications to support financial analysis and tracking is essential.
+ Must have CLASP certification, or obtain it within the year.

**Pay Range**
Pay Range: $58,800 - $82,300 Annually
_The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations._
