Job Overview:
APTIM is currently seeking an experienced Field Administrative Assistant to support our Decommissioning, Dismantling, and Disposal of a former nuclear reactor project site in Ft. Greely, Alaska. This position will be at the project site and will report directly to the Site Manager providing as-needed assistance to others in Site Lead roles as well. Typical duties will include but not be limited to maintaining project files and safety records, assist with project procurements and requisitions, arranging meetings/conference calls, and recording meeting minutes. The successful candidate must have excellent proficiency in the Microsoft Office Suite of Software and be familiar with electronic file storage and retrieval programs such as SharePoint. Strong interpersonal skills are required, including the ability to clearly and confidently communicate, both written and verbally, to all project team members including client representatives, regulators, and APTIM colleagues alike.

Key Responsibilities/Accountabilities:
+ Works with moderate supervision; accountable for individual results and impact on team.
+ Electronic and hard copy filing and records management maintenance.
+ Develop and compile weekly reports.
+ Schedule meetings/maintain calendars of onsite management personnel.
+ Correspond and coordinate with vendors for project supplies and invoicing.
+ Meets and escorts visitors.
+ Takes messages/records meeting minutes.
+ Assists with distribution of correspondence/documents amongst various project team members.
+ Ensures that any safety incidents are communicated and managed in accordance with company and client protocols.
Basic Qualifications:
+ Highly motivated, organized, and detail oriented
+ Possesses a strong work ethic.
+ Ability to maintain a high level of confidentiality.
+ Requires High School diploma with minimum 5 years of relevant experience
+ Prior experience working in a field environment at construction/demolition sites preferred.
