Ministerial Character:

The Pastor is the visible principle and foundation of unity in the parish of St. Elizabeth of Hungary Catholic Church which the Bishop has entrusted to him. He makes Christ's mission present and enduring in the parish. In order to fulfill his mission, the Pastor employs suitable, chosen collaborators (clerics, religious, or lay people). He shares with them his mission and entrusts various responsibilities to them.

Positions employed at St. Elizabeth of Hungary Catholic Church help to extend the ministry of the Pastor in particular ways as outlined in the job description. Therefore, the employee in this position is closely connected to and assists the Pastor in the performance of his ministry and thereby engages in ministry for the Church.

Job Summary:

The Administrative Assistant supports all the Faith Formation programs of the parish, including K-8th Grade Religious Education, High School Youth Ministry/Confirmation, and Adult RCIA as needed. This position requires secretarial, communication, computer, database management, and personal interaction skills. The position also requires the ability to work both unsupervised and with various groups. This position reports to the Director of Faith Formation.

Essential Job Duties:

• As an integral part of your ministry for the Church as carried out in this position, support and uphold the philosophy of Catholic ministry and the mission of All Angels and Saints Catholic Church in both your professional and personal life.
• Act as a witness to Gospel values by modeling the teachings of the Catholic Church.
• Continuously grow in your ministry by participating in religious ceremonies, training sessions, and reflection activities as directed.
• Provide administrative and secretarial support for religious education, youth ministry, sacramental preparation, and faith formation programs, and the Faith Formation Staff.
• Assist with special events as requested, e.g. teacher/parent meetings, 1st Communion, Confirmation, Reconciliation, rehearsals, catechist appreciation dinner, VBS, and retreats, etc.
• Maintain Faith formation information, via the parish database, including the processing and database management of parishioner and student information, teacher information, tuition payments, reporting, schedules, etc.
• Manage class rosters and collection of registration fees.
• Answer all Faith Formation phone calls in a courteous and friendly manner.
• Direct all visitors and phone calls to the appropriate staff person or ministry leader.
• Provide clerical support such as filing, copying, mailing, typing, general correspondence, reproduction, and general communications, etc.
• Manage work assignments for volunteers.
• Attending parish staff meetings.

Knowledge, Skills, and Abilities

• Must have good secretarial skills, including typing, filing, computer usage, etc.
• Must have good interpersonal communication skills; bilingual (Spanish/English)
• Must have basic knowledge of how the parish operates and be able to grasp quickly how the Formation office functions.
• Must have skill to operate phone system, including voice mail.
• Must have ability to maintain confidentiality in all matters.
• Must have ability to communicate verbally and in writing; bilingual (Spanish/English)
• Must have good word processing/computer skills and applications such as Word and Excel

Minimum Qualifications

Education and Training:

• High School Diploma or GED acceptable to Texas Education Agency

Experience:

• 2 years of experience in customer service.
• 2 years general clerical and office experience.
• 2 years database management experience.

Language:

• English (proficient in conversing, reading, and writing).
• Spanish (proficient in conversing, reading, and writing).

Catholic Requirement:

• Must be a practicing Roman Catholic in good standing.

Licenses and Certifications:

• Valid Texas driver's license.
• Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies throughout the employment period.
