We have an immediate need for a full-time, exempt Facility Manager. The Facility Manager oversees Girls Inc. of Boston and Lynn's historic and beautifully renovated building to provide a safe, welcoming, and enriching experience for the programs delivered there. This role coordinates all facility operations and contracts for the interior and exterior management of hard & soft services, including the following: security, space rentals, overall space management strategy, janitorial, landscaping, pest control, trash, grounds, maintenance, and repair. The salary range for this onsite position is $75,000 - $90,000, commensurate with experience. As a full-time role, the Facility Manager is eligible to participate in the organization's benefits program.
POSITION OVERVIEW (What we're looking for)
Reporting directly to the Chief Operating Officer (COO), the Facility Manager is an experienced, highly collaborative role with the capacity to understand the needs of each organizational department and prioritize appropriately. The position provides direction and management oversight to a part-time maintenance staff and liaises with numerous service vendors. The Facility Manager brings a level of knowledge and skill to carry out moderate maintenance and repair activities for the building and has the ability to secure and manage cost-effective vendors for complex & large projects.
ESSENTIAL FUNCTIONS & DUTIES (What you'll be achieving)
At a minimum, the Facility Manager will be responsible for successfully carrying out the following essential functions and duties:
Sustainability, Operations & Maintenance, and Programs Continuity
- Lead and implement sustainability efforts and initiatives in day-to-day operations and project management
- Lead preventative maintenance programs, service (scheduled or reactive), and regular inspections to ensure the facility's systems operate efficiently, remain in good condition, and are compliant with all applicable codes
- Manage the upkeep of building interiors and exteriors, including painting, flooring, roof repairs, etc.
- Supervise general maintenance and landscaping of the grounds
- Organize and maintain an effective call tree (including the Facility Manager role) to handle after-hours facility issues and ensure coverage for all activities taking place in the building
- Manage daily issues by identifying root causes, vendors or alternative solution(s); soliciting bids; evaluating proposals and solutions; recommending solutions; and overseeing the implementation of approved actions
- Serve as the point of contact for service providers, vendors, contractors on-site, etc.
Quality
- Maintain records of building systems' preventative maintenance contracts
- Collaborate with other Administration and Finance staff to manage vendor billing
- Ensure schematics are easily accessible and up to date
- Create building system manuals (as needed)
- Collaborate with the School Age Child Care team to understand building requirements related to funding contracts and ensure compliance at all times
Finance
- Create a facilities budget and effectively monitor spending with the support of the COO and Finance Director
- Work in partnership with the Finance team to generate reports detailing past, present, and future expenditures for the general upkeep and intentional improvement of the building
- Negotiate contracts with vendors, contractors, and tenants in partnership with the COO
Communications, Leadership, & Strategy
- Communicate proactively with staff across the organization (written & verbal) and support building-related needs for all departments, including administration, development, programs, and technology
- Lead the execution of internal & external events taking place on-site, including the coordination of other administrative and maintenance staff to ensure high-quality delivery
- Take initiative and work independently with minimal supervision and execute tasks and responsibilities as directed by the COO and other members of the senior leadership team
- Effectively manage a maintenance staff person to conduct daily activities such as mail and package deliveries, room setups, cleaning, etc.
Project Management
- Create a capital improvement project plan to address existing urgent building needs, existing mid-term needs, and future innovations; lead its execution
- Manage capital improvement projects in partnership with other administration staff, which may include the following: defining specifications, identifying contractors or alternative solutions, soliciting bids, evaluating proposals and solutions, etc.
REQUIRED QUALIFICATIONS (What you'll bring along)
Education: High school diploma or equivalent is required.
Experience: Minimum of five (5) years of experience in facility management or a closely related field. Equivalent formal education, professional designations, certifications, or professional training may be substituted for experience.
Qualifications: To be optimally successful in this role, the ideal candidate will have the following qualifications:
- Experience contract negotiations with vendors, trades, and procurement of services.
- Capability to develop maintenance programs and work within a budget.
- Interpersonal skills with the ability to collaborate with others professionally.
- Must be reliable, on call, able to commute to the facility with little notice, and respond to emergencies or when needed.
- Possess or be willing to obtain a valid D7 driver's license.
- Exceptional time management skills to meet deadlines and respond to ad hoc situations.
- Proficient in Microsoft Office applications and familiar with computer-based applications for communication & project planning.
- Effective verbal and written communication skills.
- Ability to support Girls Inc. of Boston and Lynn's vision, mission, values, and ethos.
- Capacity to present a thriving, service-minded approach to work and provide management oversight to others relying on direction to complete projects.
- Self-driven, with the ability to work independently and collaborate as an effective team member.
- Prior experience in supervising staff is a plus.
- Capability to work onsite at the Lynn office building on Mondays – Fridays; some evenings and weekends may be required.
