Reports to: Facilities Manager
Scope of work to be performed and/or managed:
#1. Maintenance / cleaning of all buildings, properties and grounds that belong to the Hale Centre Theatre, or as otherwise directed:
The Facilities Technician (FT) will complete and document, weekly “Walk-Throughs” of both inside and outside the building and complex, to ensure the facility is cleaned properly and no areas are neglected or in need of repair.
The FT will implement an action plan for Safety Concerns related to cleanliness/maintenance of the building and it’s various spaces. (Safety Management of HCT processes is listed later in this document)
The FT is responsible for any new cleaning processes or contractors related to those processes that need to be implemented for satisfactory cleaning/maintenance.
The FT is responsible for all coordination and supervision of contractors retained by The Hale Centre Theatre (HCT), that is related to the scope of work of the FT position.
#2 Maintenance/Repairs:
The FT is responsible for all building related repairs, both inside and outside of all HCT buildings, grounds and properties.
The FT is responsible to oversee any contractors/vendors that are related to any maintenance/repairs and may be asked to manage contractors for building upgrades.
The FT is not responsible for “Show related fix/repairs” or “Automation/maintenance repairs or special projects”, but may be asked to participate if needed.
#3 HVAC and related systems:
The FT is responsible for all maintenance and repair of the HVAC and related systems, within the buildings of HCT.
The FT is responsible for all contractors and subcontractors, the maintenance/preventative maintenance of all HVAC systems and related systems.
The FT is responsible for securing contracts/quotes, using standard HCT selection methods, that are needed to maintain the above systems.
#4 Security Systems:
The FT is responsible for maintaining the security systems and security protocols that are related to those systems and the overall security integrity of the HCT buildings, grounds and/or properties.
The FT may be tasked with special projects relating to security, as requested by the Facility Manager.
The FT is responsible for the upgrading of software, firmware and hardware of all security systems. The FT is responsible to recruit and maintain subcontractors and contacts related to the various security systems.
The FT is responsible to make sure the building(s) is properly locked down and secure, after hours, during the day, holidays, special events and any periods when the facility is “Dark”.
The FT is responsible for all training related to the security systems. The FM is responsible to coordinate any “Special Event” security for “In-House HCT Needs” as well as any coordination with the security detail of any visiting dignitary or VIP.
The FT will turn over any section of the building(s) related to Production during Production time and instruct any and all Facilities personnel or contractors to stay clear of these areas unless otherwise explicitly instructed/invited to enter that area.
#5 Safety Program:
The FT is responsible for creating and maintaining a Safety Program and Protocols for the building work environment. The FT will coordinate with all departments to help maintain a safe working environment for the building, Production Shop and Show Productions.
The FT will maintain records of maintenance, training and incidents with both hardware (ie, forklifts, scissor lifts, ladders, etc.) and personnel.
The FT is responsible to see that personnel are following in-house safety procedures, such as; lock-out/tag-out, Hot Work Permits, Fire-Watch, etc.
The FT will periodically conduct Fire, Water and other drills that will help maintain a high level of skill, knowledge and preparedness for the employees that are most likely to encounter such events. Those employee groups could be, the Day Crew, Build Crew, Production Technicians, etc.
#6 Shipping and Receiving:
The FT is responsible for the Receiving, sorting and storage of incoming freight/packages/deliveries and may be asked to assist in outgoing shipments.
#7 Budgeting
The FM is responsible, along with the Facility Manager and the Chief Operating Officer, to create an annual budget that meets the needs of HCT.
On a quarterly basis, the FT will receive that quarter’s expense report. The FT will review that expense report for any anomalies, errors and/or unexplained expenses. The FT will give a verbal report to the Facility Manager if the expenses are all valid and justified. If there is an unjustified expense, the FM will write a report on the findings and submit it to the Facility Manager.
The FT will work to protect the integrity of the budgeting process and report any areas of concern.
#8 Prepare building(s) for changeover cycles:
The FT will prepare any and all spaces and/or equipment for the next changeover cycle. This includes, but is not limited to; finishing current repair projects, Finishing all projects that are needed for the incoming show (Changeover). Prepare all spaces to receive “Load-out” and/or “Load-in” sets, props and hardware. Make a reasonable accounting of all the tools needed for the changeover. Have an adequate supply of consumables (fasteners, moving blankets, straps, forklift fuel, etc.) so that the changeover work is not interrupted.
It is the general policy that vacations are not scheduled during changeover. Every effort to adhere to this policy will be upheld by the Facilities Department. In the event of circumstances beyond normal control, the Facility Manager is the only person who can waive this requirement.
The FT is responsible to see that the Facilities Department is ready and able to work the hours necessary to stay on the changeover schedule and bring the show in, “On Time”.
#9 Attic Stock Management:
The FT will control an appropriate amount of attic stock for items that affect the building, the shows, and the operations of HCT in general. These types of items are to include, but not limited to; paint, drywall, fasteners, toilet paper, paper towels, tooling in working condition, adequate tooling and/or their consumables, ceiling tiles, soaps, batteries, fixtures, cabling, glycol, fuel(s), light bulbs, fan belts, switches, fuses, etc.
The FM will make every effort to identify “Long-Lead” items for the function of HCT and coordinate with the Facility Manager, the purchasing of the appropriate equipment that is, “Mission Critical” to the operation of HCT.
Experience and other Requirements:
The FT must have experience in and a working knowledge of, HVAC systems and Controls. The FT must have experience in and a working knowledge of; plumbing, mechanics, electrical, carpentry, pneumatics, roofing, painting, drywall installation and repair, masonry (Including concrete pours), basic construction, basic computer skills and the ability to read blueprints.
Social Skills:
The FT must be able to work well with others, lead by example and demonstrate professional behavior at all times. The FT must foster and maintain relationships with vendors and maintain a positive attitude during stressful situations. As the FT represents HCT on a daily basis, the FT must maintain a professional appearance and be well groomed.
The FT must demonstrate the ability to communicate effectively in person as well as by phone, text and email. Often, the only HCT employee that many vendors and/or contractors communicate with, will be the FT. It is paramount that the FT represents the best of HCT in all interactions and communications. This also includes all interactions within the various departments of HCT.
