Job Description:
The Facilities Specialist will support facilities, events management, and administrative tasks, acting as the face of the organization's Welcome Center. This role requires professionalism, adaptability, and strong organizational skills to manage a wide array of responsibilities in a fast-paced, high-stakes environment.
Key Responsibilities:
Workplace Services Coordination:
- Serve as the “corporate greeter,” welcoming visitors and managing the Welcome Center.
- Manage mail and package distribution, office supplies, and record-keeping.
- Maintain common areas, meeting rooms, and safety protocols.
- Coordinate catering orders for meetings and events.
- Support local and remote office site coordination.
Administrative Duties:
- Prepare documents, presentations, and reports for the Corporate Administrative Services (CAS) Team.
- Collaborate with HR and IT on onboarding/offboarding logistics.
- Organize employee welcome kits and ensure hoteling workstations are operational.
- Provide logistical support for board and corporate initiatives.
Additional Tasks:
- Serve as the safety warden during emergencies.
- Liaise with property management and building engineers for maintenance issues.
- Perform various clerical and administrative tasks as needed.
Qualifications:
- 4+ years of experience in facilities, event/office management, or related fields.
- Associate degree or equivalent post-high school education required.
- Proficiency in Microsoft Office Suite.
- Strong verbal and written communication skills.
- Exceptional organizational and time-management abilities.
- Customer-focused mindset with a “no task is beneath you” mentality.
- Ability to lift up to 50 pounds and handle physically demanding tasks.
