About the Job
The Facilities Repairs and Maintenance Manager is responsible for managing and maintaining all facilities and major
systems such as HVAC supporting facilities 24 hours a day throughout the year. The Manager will ensure proper and
safe preventative maintenance is performed on a regular basis as well as unexpected repairs and maintenance work is
performed promptly for all Swope owned or leased properties. It also requires planning for reduction of risk as it relates
to environment of care. Risk in the environment includes safety and security of all individuals including patients,
associates, visitors, and staff. These areas include the handling of hazardous materials and waste, minimizes the
potential for harm from fire, and smoke, or other environmental conditions, and manages the overall general, routine
maintenance and servicing operations throughout Swope Health Services. Maintain adherence to all regulatory
compliance governesses from multiple agencies. Supervises and assigns tasks and projects to subordinates in span of
control.
Primary Functions:- Provide leadership, strategy, budget, and direction for all facilities/infrastructure/major systems
supporting facilities at Swope Health Services (SHS) and their satellite locations.
- Supervise daily activities of a staff, ensuring all duties and assignment are carried out in a timely manner.
- Ensure all real property assets owned or managed by SHS are adequately and efficiently maintained and
protected against loss.
- Manages all outside contractors specifically HVAC, elevators, building management systems, fire alarm
systems, panic buttons, electrical plumbing, snow removal and landscaping
- Maintain access to key systems including remote access via laptop and be available 24/7/365 days or have
a plan for back up during a period of anticipated time off to address facilities matter
- Processes all daily invoices for department and monitor/identify savings opportunities
- Ensure all facilities, grounds, parking lots, and common areas are safe, secure, clean, in-repair and available
for their intended use always. Ensure all facilities create an environment maximizing the productivity and
satisfaction of both employees and visitors.
- Functions as back up for any facility related matter when the need arises, specifically back up for Facilities
Operations Manager
- Maintains all key building operations assets listings with QR code or other tracking systems
- Proactively monitors and ensure smooth operation of HVAC, lighting, electrical, management of door keys,
plumbing, window, roofs, and parking lots, including landscaping and snow removal
- Assists as needed for all office moves
- Coordinates with third party property managers for repairs/ maintenance for all leased properties.
- Manages all facilities service requests, tracks, reports, and implements action items to address concerns.
- In coordination with the safety manager, ensure that all facilities are in compliance with all accredited
governing bodies, including local, state, and federal laws related to accessibility and safety (i.e., Joint Commission,
DMH, etc.)
- Management and oversight of facilities projects such as back up generator or a parking lot repairs and
contractor work performed for projects within span of control.
- Prepare written documentation including, but not limited to Departmental Policy and Procedures as
required to comply with department operating procedures and policies to govern work.
- Coach and supervise staff and other direct reports.
- Assist and coordinate with the Program Manager with project management and execute facilities projects
included in SHS Capital Budget
- Assist in preparation of facilities budget and capital project budget.
- Any other duties assigned by the Supervisor
Bachelor's degree and/or 10 years of plant operations, facility, or maintenance experience.
Experience & Qualifications:- At least 15 years of demonstrated success in property management, plant, and equipment assets within an
organization of comparable size and scope.
- Demonstrated technical knowledge and competency regarding facilities management, security, transportation
including HVAC, electrical, structural, as well as compliance with local codes, state & federal regulations, OSHA, ADA
and related requirements.
- Healthcare Experience preferred, but not required.
