About the Job
SUMMARY:
Support Operations Management’s needs with respect to monitoring/maintaining the Philadelphia Headquarters Offices and Distribution Center Campus, as well as completing assigned administrative tasks on behalf of the distribution & transportation operations of the company.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Facilities Management Related:
- Manage preventative maintenance, repair, and enhancements of the Almo Headquarters building facility, which includes: Cleaning Services, Landscaping/Snow Removal Services, Repair and Maintenance Services (structural & equipment), Utility Management, and Lunchroom Services.
- Manage/support preventative maintenance, repair, and enhancements of the Philadelphia
Distribution Center Campus, to include the same areas as noted above.
- Plan, Manage, and Follow-up on projects involving any of Almo’s other Distribution Centers across the country. (Solar, electrical, HVAC, Roofing, etc)
- Support DC Managers on Facilities Management issues/initiatives as our in-house Subject Management Expert (SME).
Duties Typically Associated With These Three Major Components Are:
Act as point person for Almo with contractors and external vendors in addressing any Facilities Management issues that occur in/at Almo’s facilities
Act as point person between Almo and Almo’s building lessor’s Property Management groups across the network
Create job scopes/specifications, create RFPs, and attain quotes from contractors for work services as required
Assist VP, Operations in developing a fiscal business and operating plan year to year for facilities management area
Perform/manage a routine inspection of all base building HVAC equipment, systems, lighting, and exterior areas to ensure appearance and operation meet Almo’s high standards
Monitor severe weather situations in Philadelphia market and coordinate/manage any required on-site responses to those (i.e. snow-plowing, generator performance, roof-drain leaks, etc.).
Administrative Related:
- Capture and record all Sustainability data for parent company reporting
- Maintain/support the key access program for the Philadelphia HQ and DC Campus
- Buy miscellaneous supplies & equipment for the various DCs (and HQ) from time to time
- Ensure all service vendors have provided a valid certificate of insurance with the proper
credentials and maintain a spreadsheet of same
- Maintain all maintenance records on the Corporation’s file drive
- Continue to develop the Computerized Maintenance Management System
- Data recording of utilities for City Of Philadelphia
- Assist in payment of invoices for services ordered and disputes regarding same
- Office furniture installation coordination
- Insurance inspection coordination with insurance brokers, etc. (Philadelphia and remote locations)
- Participate in Safety Committee Meetings as it pertains to Facilities Management
MINIMUM REQUIREMENTS:
- 10 years of related experience and/or training.
- Capable of trouble-shooting building systems such as HVAC, building automation systems, fire alarm systems, electrical systems, lighting systems, water delivery systems, and overall MEP system ability.
- Working knowledge and analysis of solar systems and the installation of.
- Ability to be hands on when required.
- Ability to respond to calls (emergency) 24/7/365
EDUCATION
Bachelor's degree (BS/BA) from four-year college or university preferred
COMPUTER SKILLS
Highly capable and experienced in using MS Office Suite (Word, Excel, PowerPoint, Project) in routine work. Experience with AS400 a plus.
LANGUAGE SKILLS
Ability to read and comprehend semi-complex instructions, and correspondence. Ability to write semi-complex correspondence and to effectively present information in one-on-one or small group situations to vendors, customers, and employees of the organization.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or conceptual form. Ability to deal with many tasks and issues simultaneously.
