Job Description:
Lovely private family seeks an experienced Facilities Coordinator to provide year-round support and maintenance of their secondary, Long Island based residence. This individual will work with other members of the in-residence team to ensure the property is “guest ready” and in pristine condition at all times.
This role will focus on the seamless maintenance of the residence and surrounding property’s complex mechanical, HVAC, plumbing, electrical, etc. systems and overall well-being of the estate. This position encompasses all repairs, maintenance, installations and renovation projects as well as any other projects relevant to the property along with overall vendor management. The ideal candidate must be team player and willing to help with household tasks and initiatives, as directed by the Property Manager or Management Team. Flexibility to occasionally work in NYC a MAJOR PLUS.
Job responsibilities include, but are not limited to:
- Manage / maintain all assets on property
- Perform minor repairs and routine maintenance on property such as changing light bulbs, tightening screws etc.
- Assist with interior responsibilities as needed such as cleaning fireplaces, supply stocking, cleaning windows, emptying trash, etc.
- Coordinate and manage all vendors to guarantee deadlines are met, submit contracts and invoices for approval, ensure NDAs are signed properly, etc.
- Alert management team to all facility issues and potentially needed projects
- Operate Smart Home systems like Lutron & Savant as well as test and troubleshoot for issues
- Coordinate all maintenance and repairs for in-residence AV with vendors for items such as WiFi, speakers, lighting, servers, etc.
- Perform daily check lists of HVAC, AV and all systems relevant to the estate’s constant well-being
- Adhere to guidelines set forth by Property Manager, family office and principals
- Assist with set-up, break down and execution of all events, functions and parties
- Run errands and assist with mail / packages as needed
- Respond to alarms / emergencies in a timely manner
- Assisting the family & household staff with general service & duties as needed and upon special request
