Position Summary:
The experienced Facilities Director is expected to be hands-on, overseeing that the facilities run smoothly, while creating a safe work environment. Their expertise should improve business performance and optimize staff productivity, while being responsible for the physical integrity of the property and maximizing operational efficiencies. The Facilities Director will be vital in managing overall business functions to ensure that operations are meeting the needs of clients and staff.
Essential job duties and responsibilities:
- Reports to the Owens Realty Services EVP of Facility Maintenance and will also report directly to the designated Contract Administrator for the client.
- Maintains relationships with other departments within the Company; including accounting, HR, Payroll, IT, Risk Management, and Safety, etc.
- Maintains relationships with the client as appropriate, and with the department heads at the facility(ies).
- Coordinate building activities with building staff to ensure that the staff is knowledgeable of all building activities.
- Maintains effective relations with the client’s liaison personnel.
- Supervises building regulations and adherence to those policies.
- Reports and controls payroll information to bookkeeping on a timely basis.
- Approves all expenditures; in accordance to management plan, approved procedures, and adopted budget.
- Preparing facilities budgets and monitoring expenditure reports.
- Computer skills and knowledge of various CMMS, BAS, and Facilities software.
- Makes recommendations for more efficient use of allocated funds.
- Ensuring compliance with regulations and laws.
- Selects, supervises, and reviews all contractual services.
- Inspects all vacant areas and mechanical areas within the facility(ies).
- Daily inspections of grounds, interior hallways, all common hallways, and access roads.
- Approves all expenditures; in accordance to management plan, approved procedures, and adopted budget.
- Places orders, when approved, for all maintenance and cleaning supplies, materials, and equipment.
- Makes recommendations for physical repairs and/or replacements.
- Supervise building regulations and adherence to those policies.
- Ensuring compliance with zoning laws.
- Coordinating relocations, and negotiating lease agreements .
- Handles employee selection, training, and control, and assures that all supervised employees comply with the appropriate policies and procedures.
- Interfaces with outside professionals regarding legal, accounting, insurance, tax, and other matters, as appropriate.
- Degree in facilities management, engineering, or property management.
- 5 Years of Account Director/Manager experience.
- 2 Years or more of previous supervisory and management experience.
- 1 or more years of experience as a Maintenance Technician, must have experience on all types of Maintenance care.
- The ideal candidate for this role should possess good communication skills, excellent organizational skills, broad knowledge of business functions, and project management experience.
- Must have knowledge of Safety Regulations and Regulations concerning equipment and safe work practices in all activities.
- The Director of Facilities must understand the technical aspects of the property, support day to day business operations, ensure efficient operation of facilities, mitigate risk, and ensure that facilities meet the needs of clients and staff.
- Ability to understand documents such as scope of work and procedures manuals.
- Ability to write routine reports and correspondence.
- Ability to effectively present information in one-on-one and group situations to customers.
- Must be able to speak, write and read English.
- Must be able to walk and stand for a long period of time.
- Safely lift and move heavy equipment, supplies and others up to 50 lbs.
- Be able to drive between accounts or job sites.
- Carry up to 50 lbs.
- Grasp 75% of the time.
- Pull and Push between 20-30 pounds.
