Job Description
ASU California Center in Los Angeles, Facilities Management, is seeking a Facility Coordinator to support the day-to-day operations and maintenance of the facility and ensure a safe, clean, and efficient environment for all employees, students and visitors. This role involves coordinating facility & event services, managing service requests, supporting maintenance staff, handling vendor relationships to maintain building systems and equipment, assist operations team with event setup, dispatching, deploying resources, and following up on work orders and safety standards. This role ensures that all facilities are maintained to the highest standards through effective coordination, quality control, and communication with internal and external facility operations teams.
Salary Range
$60,000 - $65,000 per year.

Essential Duties
Operations and Maintenance
- Monitor and coordinate maintenance and repair work for facility, including HVAC, lighting, plumbing, and electrical systems.
- Respond to service requests promptly and ensure issues are resolved efficiently.
- Conduct regular inspections of the facility to identify areas for improvement and ensure compliance with safety standards.
- Work closely with operations teams on multiple sites to support event management.
- Maintain accurate records of maintenance schedules, vendor contracts, and facility-related expenses in approved CMMS software.
Vendor and Service Management
- Coordinate with vendors and service providers for scheduled maintenance, repairs, and improvements.
- Understanding contracts’ scope with suppliers and ensuring all service agreements are up to date and all required tasks in the contract are implemented.
- Oversee vendor performance to maintain quality and resolve any service issues as they arise.
- Daily communication & monitoring janitorial work and making changes for process improvement.
Space Planning and Coordination
- Assist operations team with office moves, workstation setups, and layout adjustments.
- Ensure that facility space usage is optimized and aligned with operations’ team requirement.
Inventory and Supplies Management:
- Maintain inventory of office and maintenance supplies, placing orders when necessary.
- Manage stock levels of critical supplies to prevent shortages and ensure availability for facility and operations teams.
Health, Safety, and Compliance:
- Support health and safety initiatives within the facility, including conducting regular safety inspections and working closely with the EHS department.
- Ensure compliance with building codes, fire regulations, and environmental guidelines.
- Assist in coordinating emergency response drills and managing evacuation procedures with facility and operations teams.
Administration and Reporting:
- Maintain accurate records of maintenance schedules, vendor contracts, and facility-related expenses.
- Prepare reports on facility operations, usage, and maintenance activities for management review.
- Assist with budgeting, cost tracking, and forecasting facility expenses.
Emergency Assistance:
- Immediately available to assist with any facility emergency as requested such as fire, or weather emergency.
- Responsible for overseeing the emergency plans implemented for each site.
Business/Professional
- Effectively communicate with facility operation teams, employees, students and visitors.
- Present information in a clear and concise manner; and listen attentively to information.
- Must be extremely flexible to manage multiple projects and priorities in a changing environment to create a positive outcome.
- Displays a high degree of creative problem-solving abilities in dealing with site management and vendor issues.
- Builds relationships, credibility, and trust; partners with others to solve issues.
- Ability to assess customer needs. Demonstrates skill in handling internal and external customer requests, complaints, and suggestions while maintaining a positive attitude.
- Prioritizing and managing multiple tasks to meet deadlines.
Work Schedule: Monday- Friday 8:00am- 5:00pm (this position may require the applicant to work outside of the posted work schedule based on program need.
Minimum Qualifications
Four years of related modular furniture installation, supervision of facilities operations and/or project management experience, to include one year supervisory experience; OR, Any equivalent combination of experience and /or education from which comparable knowledge, skills and abilities have been achieved.
Desired Qualifications
- Bachelor’s degree in Facilities Management, Business Administration, or a related field (or equivalent experience).
- Strong organizational and multitasking skills, with a focus on attention to detail.
- Proficiency in facilities management software or being familiar with one, Microsoft Office Suite, and basic budgeting principles.
- Knowledge of environmental health and safety regulations is a plus.
Working Environment
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. Occasional bending, reaching, pushing and lifting up to 50 pounds. Regular activities require the ability to quickly change priorities which may include and/or are subject to resolution of conflicts. Ability to clearly communicate to perform essential functions.

This position is located at the ASU California Center in Los Angeles, CA.
This position requires possessing and maintaining a valid US Driver's License of the appropriate class and required endorsements throughout employment with an acceptable driving record of 5 or fewer points in the most recent 39 month period.
Must pass pre-employment physical examination post offer of employment.
This position will require the successful candidate to work outside of the posted work schedule (including nights and weekends) based on department needs.
