ATI’s Shop Administrator supports the daily operations of the vehicle and equipment repair and maintenance department by providing administrative assistance to the shop manager. Acting as a bridge between the shop manager, mechanics, and office staff, the Shop Administrator ensures smooth communication, efficient workflow, and proper record-keeping. This role is crucial for maintaining the shop's organization and operational efficiency.

Responsibilities
- Assist
the shop manager with scheduling and tracking vehicle and equipment
repairs and maintenance.
- Prepare,
organize, and update work orders for mechanics.
- Maintain
accurate records of completed and pending repairs, inspections, and
maintenance schedules.
- Monitor
and process timekeeping or payroll information for shop employees if
applicable.
- Serve
as the primary point of contact between the shop and office for
administrative matters.
- Communicate
repair updates, parts needs, and equipment statuses to the shop manager
and office staff.
- Relay
work assignments and instructions from the shop manager to the mechanics.
- Track
and manage spare parts, tools, and supplies inventory levels.
- Coordinate
with vendors to order parts and ensure timely delivery.
- Maintain
accurate records of purchases, parts usage, and vendor information.
- Compile
and submit detailed reports on shop operations, maintenance schedules, and
repair costs.
- Update
and manage maintenance management software or spreadsheets.
- File
and organize invoices, inspection reports, and compliance documents.
- Assist
the shop manager in maintaining compliance with safety regulations and
company policies.
- Ensure
documentation is in place for equipment certifications, inspections, and
warranties.
- Communicate
with vendors to address parts availability, pricing, and delivery
schedules.
- Respond
to inquiries from internal teams or external clients regarding equipment
status or repair timelines.
You Bring
- 2+
years of administration assistant experience preferred
- Strong
MS Office skills (Word, Excel, Outlook)
- Strong
organizational skills and ability to manage changing priorities
- Ability to work independently to complete goals
- Strong verbal and written communication
