SUMMARY:
The Experience Marketing team is hiring a Project Manager to support our client's global corporate event portfolio. The Experience Marketing Project Manager is responsible for supporting the strategic operations, execution, and management of the Experience Marketing organization and ensuring success in alignment with the company's marketing goals.
RESPONSIBILITIES:
Operations, Program Management, and Communications
- Provide a full-range of programmatic and administrative support.
- Serve as designated and recognized liaison between the Experience Marketing organization and the broader organization.
- Research and provide relevant training opportunities for the team to improve their skills and best practices; maintain and update Experience Marketing career framework documents.
- Help train people and socialize new tools or processes required.
- Work with procurement to support QBR process with key agencies.
- Lead the team engagement plan for team building, award submissions, etc.
- Drive key initiatives to establish operational excellence across our team for improved efficiencies.
- Run day-to-day team operations and coordinate team logistics; including assisting with team meetings, communications and special team projects.
- Develop communication procedures to ensure internal and external constituents are advised of event timelines, deadlines and best practices.
- Manage Experience Marketing Workspace presence and support our SalesSpot presence to improve communications and data knowledge.
- Build and maintain a team-wide "source of truth document and organize all crucial documents, including the budget, planning decks, post-event results.
- Provide fiscal year planning support and quarterly budget support to ensure transparency and information-sharing with Finance.
- Serve as the point person for processing and managing budget manners.
- Oversee approval of expenditures and timely processing of invoices.
- Prepare payment updates and budget reports as needed.
- Monthly budget review for accuracy and timely payments.
- Prepare budget projections for a new fiscal year, track spending throughout the year, and analyze the projections and actual expenses.
- Manage relationships with vendors and contractors and maintain timely payment.
- Monitor department budget, reconcile expenditures, create reports and process all expenditures.
- Track department expenses and ensure cost-effective execution.
- Negotiate contracts and pricing with vendors to optimize budget allocation.
- Support collection and analysis of data related to event performance, including attendance, engagement, and ROI.
- Support event strategy and marcom efforts and deliverables.
- Rollout organization wide reporting templates, leveraging reporting tools.
- Work with the Event Strategy team to generate post-event reports, identifying successes and areas for improvement.
QUALIFICATIONS:
- Bachelor's degree in Marketing, Communications, Business, or a related field (or equivalent work experience).
- Demonstrated ability in event operations, planning and management, preferably in a marketing or related role.
- Strong organizational skills and attention to detail, with a data driven mindset.
- Excellent written and verbal communication skills.
- Proficiency in event management software and tools.
- Familiarity with digital marketing and social media platforms.
- Ability to work well under deadlines and juggle multiple tasks simultaneously.
- Creative thinking and problem-solving abilities.
- Flexibility to work irregular hours, including evenings and weekends, during event periods.
