East Bay Asian Local Development Corporation (EBALDC) is seeking one (1) Regular Full-Time Executive Support & Board Operations Liaison in Oakland, CA.
Summary: The Executive Support & Board Operations Liaison worksindependently under the direction of the CEO and EVP, HR to manage operational functions for the CEO and Board of Directors in the following areas:
- Provide proactive, high-level administrative support to the CEO, assist in managing workflow including the management and coordination of key projects.
- Manages the daily operations for the Board of Directors and is responsible for the efficient administration of the Board particularly with regard to:
- maintaining historical corporate documents
- ensuring compliance with statutory and regulatory requirements and
- ensuring that the decisions of the Board of directors are implemented.
In this role, we seek a highly proactive professional who can anticipate the needs of the CEO, Executive Leadership Team (ELT), and Board. The ideal candidate will streamline communication, leverage technology to automate processes, and optimize workflows by prioritizing meaningful tasks, eliminating inefficiencies, and addressing activities with an appropriate sense of urgency.
Essential Duties
CEO Support (40%)
- Optimize the CEO’s time by efficiently managing their calendar, arranging meetings, and coordinating travel logistics, including the preparation of detailed travel itineraries.
- Proactively anticipate the CEO’s needs to ensure their schedule aligns with organizational priorities.
- Manage and oversee the CEO’s briefing process by coordinating with staff and stakeholders on meeting preparation.
- Identify and implement CEO-related process improvements to enhance operational efficiency and optimize resource allocation.
Board Management (35%)
- Plan and execute board meetings (occur bi-monthly), including managing logistics, preparing materials, and ensuring timely distribution of documents.
- Schedule and maintain board and committee calendars(occur bi-monthly or more as needed), ensuring alignment with organizational goals.
- Collaborate with senior staff to produce high-quality board reports and presentations.
- Build and maintain effective relationships with key stakeholders to facilitate communication and collaboration.
- Identify and implement Board process improvements to enhance operational efficiency and optimize resource allocation.
HR Support (15%)
- Assist HR with planning and executing quarterly all-staff meetings, employee and manager trainings, and special initiatives such as Open Enrollment.
- Manage all-staff communication calendar and communication tool; assist in drafting key communications for all-staff distribution.
- Provide administrative support for HR program areas requiring additional assistance.
- Identify and implement HR-related process improvements to enhance operational efficiency and optimize resource allocation.
- Contribute to special projects as assigned, ensuring timely and effective completion.
ELT Support (10%)
- Support the EVP, HR by assisting with ELT-level project planning, meeting preparation, agenda setting, follow-up activities.
- Draft, edit, format, and proofread memos, presentations, correspondence, and other documents as needed.
- Identify and implement ELT process improvements to enhance operational efficiency and optimize resource allocation.
- Perform other duties as assigned to support departmental and organizational objectives.
- ect management skills with the ability to manage big projects or program implementations, including development of clear timelines/milestones.
- Preferred Experience with Paycom, JazzHR but not required.
Required Knowledge, Skills & Abilities:
- Experience: 3–5 years of proven success in supporting executives or organizational leaders in fast-paced, high-demand environments.
- Organizational Skills: Exceptional organization and time management, with the ability to prioritize effectively, meet competing deadlines, and manage tasks with appropriate sense of urgency.
- Technical Proficiency: Demonstrated experience in preparing presentations, financial spreadsheets, special reports, and agenda materials. Intermediate to advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and shared workspace platforms like Teams and SharePoint.
- Adaptability: Capable of working independently and efficiently under minimal supervision, handling ambiguity, rapid change, and evolving priorities in a dynamic environment.
- Interpersonal Skills: Strong ability to manage relationships across all levels of an organization, with attention to detail, flexibility, and excellent interpersonal communication.
- Confidentiality and Discretion: Maintains a high level of confidentiality and professionalism in managing sensitive information and navigating difficult or confidential situations.
- Communication Skills: Exceptional written and verbal communication abilities.
- Cultural Competence: Strong multicultural sensitivity and a commitment to diversity, equity, inclusion, and belonging.
- Alignment with Mission: Strong alignment with and support for EBALDC’s mission and vision, with familiarity in related topics considered a plus.
- Professionalism Under Pressure: Exhibits a courteous, professional demeanor and the ability to remain calm under pressure or when priorities shift unexpectedly.
- Commitment to Teamwork: Willingness to occasionally work evenings, weekends, or travel (up to 10%) as needed, including attending external events and supporting other staff.
This role requires a proactive, detail-oriented individual who thrives in a fast-paced environment and is passionate about contributing to organizational success.
Physical Demands:
Must be able to meet physical requirements of the position; these may include long periods of sitting at a desk and/or computer station; lifting items that weigh up to 20 pounds; reaching, bending and stooping within the daily routine of task and activities.
Salary Range:
$70,000 - $80,000 annually
