Minimum Education:
- High school diploma or equivalency diploma.
Work Experience:
- Two to five years of experience in administrative support, including the use of office software, provision of customer service, business writing, and administrative management.
Job Duties:
- Answer office phone lines, provide information, support, and crisis intervention to callers in need of gender-based violence services.
- Transfer calls to appropriate individuals and take messages as required.
- Greet office visitors, handle inquiries, or direct them to appropriate staff persons.
- Efficiently utilize various program databases and applications, including the Microsoft Office Suite.
- Create, maintain, and enter information into spreadsheets and databases.
- Operate, maintain, and schedule repairs for office equipment such as printers, scanners, and copiers.
- Compose, type, and distribute meeting notes, correspondence, reports, and various other documents.
- Assist program staff with meeting and events planning and coordination, including arranging venues, catering, technology, and any other needed items.
- Assist with onboarding and offboarding of new hires and departing employees.
- Review and revise draft documents to ensure proper spelling, grammar, and adherence to office policies.
- Research information using various sources, including the Internet.
- Mail various items, including letters, reports, and promotional materials; prepare packages and arrange for shipping.
- Organize and manage paper and electronic filing systems.
- Order and distribute office supplies.
- Serve as a backup for the Executive Assistant to the Executive Director.
- Perform other duties as assigned.

- Proficiency in Microsoft Office Suite.
- Strong organizational and time-management abilities.
- Effective communication and collaboration skills.
- Experience with event planning and coordination.
- Attention to detail in drafting and editing documents.
Miscellaneous Information:
- Shift Days/Times: Monday to Friday, 9:00 AM to 5:00 PM.
- Parking: Metered on-street parking and two parking garages on Washington Ave. in close proximity; Daily/weekly costs are unknown.
- Public Transportation: CDTA bus stop at the corners of Washington and S. Swan.
- Interview will take place virtually.
- Training will be provided.
