About the Job
A reputable financial services firm is looking for an Executive/Personal Assistant to support to the CEO and other senior executives, as well as handle personal and household tasks for the CEO and their family. This is a unique opportunity to work in a fast-paced and challenging environment, while gaining invaluable experience in both the business and personal realms. This role is onsite Monday-Friday.
Responsibilities
- Manage and prioritize the CEO’s complex calendar, handling scheduling conflicts and ensuring smooth engagements.
- Serve as a liaison for executive staff, coordinating logistics for meetings and events, including agenda preparation and minute-taking.
- Assist with personal errands and tasks as required
- Organize domestic and international professional and personal travel arrangements, creating detailed itineraries and assembling necessary materials.
- Complete a variety of administrative tasks to aid the CEO in leading the organization effectively, such as document preparation and correspondence.
- Act as the primary contact for confidential matters, making judicious recommendations that align with the CEO’s style and organizational policies.
- Ensure the smooth operation of office functions, including IT support and troubleshooting for cloud-based applications.
- Proactively manage and prioritize tasks, projects, and urgent requests in a fast-paced environment with minimal supervision.
- Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy for internal and external matters.
Qualifications
- Minimum 7 years of significant experience supporting C-suite executives in a Financial Services or Family Office environment.
- Minimum of 2 years personal assistant experience
- Bachelor's Degree required
- Expert proficiency in Microsoft Office and desktop publishing software, with the ability to create and design graphic presentations.
- Exceptional organizational skills, strong verbal and written communication skills, and the ability to maintain confidentiality and demonstrate professionalism.
- Strong judgment, problem-solving abilities, and the capacity to adapt quickly to shifting priorities and urgent situations.
- Able to be available after normal working hours (8:30-6pm)
