About the Position
The Executive Operations Manager will play a crucial role in supporting senior investment sales brokers and managing a high performing investment sales team in their business execution. This role includes executive support, office management and sales operations to ensure that all team processes run smoothly and efficiently. This individual will work closely with brokers and team members, providing a high level of service and accuracy across all tasks. Someone with recent experience in commercial real estate is preferred.
Job Duties and Responsibilities
Provide strategic and operational support to senior investment sales brokers while ensuring the sales team operates efficiently and meets organizational objectives.
Executive Support: Includes 1-2 brokers
- Will be a direct assist to the senior brokers on the team to ensure emails are not missed, clear directive on high level action items, and overall management of day to day.
- Serve as the first point of contact for internal/external communication, handling inquiries and providing exceptional service.
- Understand and execute the principles of “Managing Up”.
Office Management: Includes 1 office with 4-5 people
- Ensure the office operates smoothly and efficiently, overseeing office supplies, maintenance, and vendor relationships. Small office of 2-3 brokers.
- Manage office-related budgets and expenses, ensuring cost-effective practices.
- Work with company operations to ensure policies and procedures are standardized across in office.
- Assist with any technology issues for anyone in office, to include but not limited to: fixing printer, calling IT support, setting new hire desks, and meetings.
- Coordinate office maintenance and communication with property management.
- Assist with new office space, build-out, move, and technology setup.
Sales Operations:
- Assist in creating and maintaining marketing materials for pitch, investment deck, offering memorandum, case studies and more.
- Coordinate team events and meetings, ensuring they are executed flawlessly.
- Create, manage and execute on the team WIG’s and business plan for quarterly and annual review.
- Project manage team assignments to ensure all parties are aligned, timelines met for client success.
- Draft, review and maintain confidential documents and records, ensuring compliance with legal and company requirements.
- Serve as a liaison between different departments or teams within the organization, facilitating effective communication and collaboration.
- Develop strategies that improve team efficiency while meeting company standards and policies.
Skills/Qualifications
- Proven experience as an Executive Assistant, Office Manager, Operations Manager, Operations Coordinator, or similar role, with a strong track record of supporting senior-level executives.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
- Strong communication and interpersonal skills, capable of building relationships with team members and external clients.
- Proven ability to implement and optimize technology solutions to improve team workflows and operational efficiency
- Experience in handling confidential information with discretion.
- Ability to work independently and collaboratively in a fast-paced environment.
- Detail-oriented with a proactive approach to solving problems and managing workloads.
- Recent working experience in commercial real estate, preferred knowledge of retail investment sales
Software Requirements
You must be able to use each of these at a high level of efficiency without support
- Intermediate and Expert level of experience in Office 365, including Word, Excel, PowerPoint, and Outlook
- Adobe Acrobat Pro
- Docusign or Comparable eSignature
- Salesforce or Comparable CRM
- Box or Dropbox
- Cloud based ECM (Sharepoint, Egnyte, etc.)
- Canva, preferred but not required
Education/Experience
- Bachelor's Degree preferred.
- At least 5 years of experience as an executive assistant, office manager or operations
Additional Requirements
- Full-time, in-office position.
- Must pass a background and employment history check.
- Must be able to frequently ascend and descend stairs.
- Must be able to lift and carry items weighing up to 20 pounds.
- Must be able to work over 8 hours in the day as the workload requires.
- Must be able to work some weekend hours when required.
- Minimum travel needed for meetings, annual conferences and company events.

Position Includes
