Job Title: Executive Operations and Finance Specialist
We are seeking a highly skilled and discreet Executive Operations and Finance Specialist to support our CFO/COO in maintaining operational efficiency, managing priorities, and ensuring seamless coordination across key business functions. This role is critical in enabling the CFO/COO to focus on strategic leadership by providing sophisticated administrative, financial, and operational support, including the management of communications, calendars, and high-level initiatives.
The ideal candidate will demonstrate exceptional organizational skills, business acumen, advanced financial proficiency, and the ability to handle sensitive information with the utmost confidentiality. As a trusted liaison, you will streamline information flow, filter priorities, and ensure that all relevant tasks, meetings, and requests are handled with precision and professionalism.
Key Responsibilities:
1. Calendar and Email Management: Serve as the gatekeeper for the CFO/COO's calendar and email, prioritizing and organizing schedules to maximize efficiency while ensuring critical matters are addressed promptly.
2. Information Filtering: Review and synthesize communications and requests, identifying key information and actions needed for the CFO/COO. Provide concise summaries and recommend prioritization.
3. Meeting Coordination: Arrange and coordinate meetings, events, and travel plans, ensuring all logistics are meticulously planned and executed. Prepare agendas, compile briefing materials, and ensure follow-up on key action items.
4. Finance Support: Provide financial support as needed, including but not limited to preparing reports, analyzing data, creating financial models, reconciling accounts, and assisting with budget tracking.
5. Master-Level Excel Expertise: Utilize advanced Excel skills, including formulas, pivot tables, data visualization, and macros, to support financial analysis and reporting requirements.
6. Research and Analysis: Conduct high-level research to support decision-making processes. Gather data and insights on business initiatives, industry trends, or organizational matters, presenting findings in a clear and actionable format.
7. Confidential Liaison: Act as a point of contact between the CFO/COO and internal/external stakeholders, balancing diplomacy with discretion in all interactions.
8. Operational Support: Track and manage ongoing projects, deadlines, and deliverables to ensure timely completion. Maintain an organized system for pending tasks and decisions that require the CFO/COO's attention.
9. Communication Coordination: Manage incoming requests for meetings or communications with the CFO/COO, filtering and prioritizing based on relevance and urgency.
Qualifications:
1. Bachelor's degree in Business Administration, Finance, Accounting, or a related field.
2. 5+ years of experience in a high-level executive support role, preferably supporting C-suite executives.
3. Exceptional organizational and time-management skills, with a proven ability to handle multiple tasks and prioritize effectively.
4. Strong business acumen with the ability to understand organizational dynamics and strategic priorities.
5. Advanced proficiency in Microsoft Office Suite, particularly Excel, with demonstrated ability to perform complex financial analysis and modeling.
6. High degree of professionalism and ability to maintain confidentiality.
7. Excellent communication and interpersonal skills, with a polished and professional demeanor.
8. Strong analytical and problem-solving abilities with a focus on proactive solutions.
