We have an immediate opening for an Executive Office Administrator to join our team. The Executive Office Administrator is a highly dynamic role providing full administrative day-to-day support to the Bank Chairman, Chief Executive Officer and multiple executives. This position also serves as the Board of Directors Secretary. The Executive Office Administrator is critical in the day-to-day operations of the Bank serving as a point of contact for the executive team, business partners, and leadership team. This role requires the highest level of confidentiality, strategic thinking, planning, and adaptability. This position offices onsite at our north Dallas headquarters.

What You'll Do:
Executive Team Support
- Proactively manage meetings, communications, and administrative tasks including calendaring, travel arrangements, expense reports, meeting follow-up, etc. for the Bank Chairman, CEO, and multiple executive team members.
- Anticipate pre-meeting needs by conducting research, preparing presentations and reports, and ensuring relevant documentation is accessible.
- Ensure the executive team is well prepared and briefed prior to each engagement to maximize meeting time and presence.
- Participate in meetings as requested.
- Prepare and deliver professional and grammatically correct communication.
- Deliver a high level of support by proactively establishing processes, timelines, networks, and workflows that support the executive team’s priorities and initiatives.
- Work closely with other individuals in the Bank to facilitate communication and ensure timely and efficient information flow.
- Build and foster working relationships within the executive team and across the organization.
- Assist executives with various projects and to-do items.
- Independently conduct follow-ups to ensure timely completion of tasks.
- Utilize project management skills in leading assigned projects to completion.
Board of Directors and Bank Committees Support
- Serve as the primary contact for all Bank Board of Directors and Board Committee members.
- Coordinate all onsite and virtual meeting arrangements for Board related meetings.
- Prepare all Board related meeting agendas, presentations, reports, and other materials as needed.
- Record detailed, accurate, and grammatically correct meeting minutes for all Board related meetings.
- Establish and maintain a well-organized virtual filing system for all Board related meetings, director and officer information, as well as any pertinent and relevant Board related information.
- Minimum of two (2) years’ experience supporting executives or professionals
- Paralegal experience/certification highly preferred
- Bachelor’s degree desired
- Proficient in Microsoft Office programs with an emphasis on Excel, PowerPoint, and Word
- Ability to maintain high levels of confidentiality
- Superior written and verbal communication skills
- Professional and respectful demeanor
- Excellent project management skills
- Strong attention to detail
- Ability to adapt in a dynamic environment
- Banking experience a plus
