What You Will Do
Executive Events and Protocol (CEA-PRO) is the trusted source for LANL leadership and employees to host visitors and coordinate high-level meetings, visits, and events on behalf of the institution.
CEA-PRO is seeking an enthusiastic, self-motivated, detail-oriented, and customer-focused Executive Events and Protocol Specialist. The successful candidate will report to the CEA-PRO Team Leader and interface with customers internal and external to the Laboratory. The candidate would be responsible for developing agendas, creating information packets, scheduling presenters, conducting registration, and finding all needed resources for an event hosted by the executive Leadership Team at Los Alamos National Laboratory.
The candidate would be an effective, supportive, dependable, and customer-focused member of the CEA-PRO team. They will demonstrate the ability to cooperate and communicate, adapt to changing priorities and locations, take initiative to research and complete tasks, learn about the technical breadth of the Laboratory and apply it to visitor interests, and show a willingness to provide support whenever and wherever needed.
The candidate will demonstrate initiative, organization, time management, proactive problem-solving skills, and professional tact and discretion when handling sensitive matters and materials. The candidate will also effectively support and execute visits, meetings, and events by coordinating various tasks including, but not limited to: hotel room blocks, transportation, food and beverage orders, audiovisual needs, meeting room reservations, clearance transfers, safety and security briefings, etc.
What You Need
Minimum Job Requirements:
Event Planning
At least two years of experience with event organizing and planning (ex. executive meetings, high level customer engagements, foreign delegation meetings, community outreach, receptions, employee recognition and morale events including awards ceremonies and annual meetings).
Relevant Knowledge/Training
Prior exposure to at least one of the following: government, corporate, diplomatic, or military protocol and/or business etiquette, customer engagement or cultural training.
Software Skills
Must have working proficiency with the Microsoft Office suite of applications specifically Outlook, Teams, Excel, Word, and PowerPoint.
Reliability & Dedication
Demonstrated record of punctuality and willingness to go the extra mile for customers which may involve occasional travel and/or irregular hours.
Prioritization & Demeanor
You will need to have the demonstrated ability to work calmly and effectively while managing multiple simultaneous work assignments under the pressure of deadlines, frequent interruptions and changing priorities.
Education/Experience:
Position requires a minimum of 2 years related experience, or an equivalent combination of education and experience directly related to the occupation. Preference may be given for education or experience in hospitality management, business administration, public relations, or communications.

Laboratory Agenda
Knowledge and understanding of Laboratory organizational structure, culture, strategic goals, and commitments.
Industry Standards
Knowledge of one or more of the following: hospitality industry standards, marketing and communications, event/registration software, hotel/catering sales, business/government/military protocol, and/or business etiquette.
Agenda Development
Experience leading agenda development by understanding and working with technical hosts, matching visitor interests with appropriate Laboratory programs and topics, and identifying staff to present briefings/tours.
