About the Job
RSUI has a unique and exciting opportunity for an Executive Coordinator to provide essential insurance-specific operational support and administrative assistance to our executive team. The Executive Coordinator is responsible for preparing reports and presentations, liaising with internal and external company contacts, managing schedules and organizing meetings, and handling various types of correspondence. This position also assists with special projects, events, and other initiatives as assigned.
The ideal candidate will be confident in a high visibility position working directly with senior level executives, eager to gain unique and varied exposure to multiple facets of the insurance industry, and comfortable managing competing priorities in a fast-paced professional work environment. They will embrace our “speed of response” philosophy for time-sensitive tasks, and place great priority on providing top-notch service to RSUI executives and other stakeholders.
RSUI and the executive staff are highly collaborative, so day-to-day interaction, meetings, and other activities will require an in-person presence. Building relationships is a key component of RSUI’s culture, and doing so is accomplished, in part, through engaging in meaningful in-person dialogue. This position will work RSUI’s hybrid schedule of three days weekly in the office, sometimes requiring more in-office time, depending on business needs.

Responsibilities:
- Handle confidential and sensitive information with discretion and professionalism
- Create, edit, and distribute various documents, reports, presentations, and correspondence
- Communicate and collaborate with internal and external contacts, including very senior-level leaders, on behalf of the executives
- Coordinate and manage the complex calendars and travel arrangements of senior executives
- Plan, schedule, and facilitate meetings, conferences, and events, including preparing agendas, taking minutes, and following up on action items
- Serve as an informal “cultural ambassador” for RSUI, upholding our core values of People Service and Integrity and operating with humility, respect, and a team approach
- Perform research, analysis, and data entry as needed
- Maintain and update files, records, databases, and systems
- Provide general administrative support to the executive office, such as answering phone calls, ordering supplies, and managing invoices
- Coordinate, manage, as well as execute various ad-hoc projects and events, ensuring that the plan, tasks, schedules, and status updates are maintained
Qualifications:
- Bachelor's degree in business administration, communications, or a related field
- 3+ years of experience providing executive support, or comparable experience in a fast-paced, highly visible support role within a professional services environment
- Proficient in Microsoft Office (Outlook, Excel, Word, and PowerPoint), and other relevant software
- Excellent verbal and written communication skills; the ability to relay and receive information with polish, tact, and discretion
- Strong attention to detail, as well as organizational, time management, and problem-solving skills
- Ability to work independently, and manage a busy workload with competing priorities
- Superior customer service orientation and work ethic
- Flexibility and adaptability to changing needs and demands
- Professional and courteous demeanor
