This role will work within the Americas Executive Briefing Team, reporting directly to the Director, Briefing Program. Your focus will be driving and executing best practice event coordination, and innovation in the (EBC program). We are a fun, fast-paced team who work hard to design and execute high touch executive briefings across the region. We work with key internal and external stakeholders to collaborate and develop exceptional briefings for our customers. These briefings deliver significant revenue generation and acceleration for our organization.
Role
We are looking for a highly organized, goal-oriented, self-directed professional to join the team and be an active player in our EBC team. You will interact directly with sales leaders and their teams, global and regional presenters, operational teams and workplace services teams to deliver results. Preparation of briefings, operational needs of the briefings, managing day to day logistics of center needs and attention to detail and strong aptitude for coordination of activities for the briefing is core of the day-to-day.
You will be a self-starter who is proactive to resolve any matters that may impact the briefing outcome, you will be collegial and supporting player in the program to assist sales, assist the EBC team. Program management, event management, relationship management skills, adaptability and experience in a high-technology, dynamic environment will be an advantage to your success.
What you get to do in this role:
•The person in this role should be comfortable and amendable to providing for the business needs of guests in a fast-paced environment.
•Work closely with all Briefing Program Managers to establish a communication workflow and support the elements of the EBC workflow process.
•Collaborate with onsite vendors, the Workplace and facilities team, the marketing team, the sales teams and EBC regional and global teams.
•Manage all logistical requirements of briefing and meeting coordination within the center.
•Work without program systems (CRM, survey generation, social media channels and O365)
•Ensure EBC event schedule is delivered to all stakeholders
•Provide on-site support for events and activities within the EBC and support the broader team with hospitality requirements
•Assist with day to day operations within the local team
•Collaboration will be critical with many stakeholders involved in these larger programs of work. You will be the conductor of the orchestrater to ensure we have clear guidance, engagement and communication across the teams
•Manage agency/3rd party vendor resources to deliver EBCs and deliverables
•Create communications to publish the success of the Innovation Centre, keep stakeholders informed and up to date on program operations.
•Continually look at ongoing innovations and best practices to elevate the center experience.
To be successful in this role, we need someone who has:
•5+ years of event/executive marketing or marketing experience
•Experience in coordination of events or activities within marketing functions or larger complex organizations to deliver programs at scale
•Experience managing multiple stakeholders across concurrent priorities.
•Naturally “proactive”, who can think on their feet to address issues that arise
•Strong attention to detail
