What you'll do:
- Provide executive administrative support to CLIENT's SVP, Chief Accounting Officer and VP, Corporate Controller, manage CC calendar across time zones, filtering requests for internal & external commitments.
- Provide travel planning support for both domestic and international travel, including booking air travel, hotel, ground transportation, and other travel coordination.
- Owner of leadership meeting agenda, minute-taking, and holding action owners accountable
- Partner closely with our Operations and Strategy team to deliver best-in-class support to CC Maintain internal team process governance; find opportunities for efficiency improvements within the organization and initiate or facilitate improvements.
- Support new hires, contractors, and employee's onboarding, working with Facilities, Ops and Strategy and IT to arrange seating, equipment, and other planning.
- Build and maintain collaboration and close partnership with leadership team, ops, and strategy teams, cross- functional teams, and Executive Assistants.
- Maintain organization charts, and other department-wide support.
- Process business expense reimbursement requests, and invoices; own monthly accruals, PO process, and expense monitoring; handle group memberships to professional organizations.
- Maintain various records and documents for the CC. Handle printing/mail packages/copying, filing and email/messages as required.
- Regularly collaborate with cross-functional Administrative & Executive Assistants and provide back up.
- Routinely perform a wide variety of additional and/or alternative support duties as assigned from time to time, including supporting other Executives as needed.
- Well organized and detailed oriented with demonstrated experience as an Executive Assistant (5-7 years+) or similar which directly applies to the requirements above.
- Experience interacting with staff at all levels in a fast-paced, high-pressured environment.
- Proactive, resourceful, and efficient, with a high level of professionalism, handle confidential information with integrity and
- Plan, coordinate, and execute all types of meetings and events, including complex executive meetings.
- Being able to shift and reprioritize with constantly changing demands, exercise discretion in committing time and evaluating needs.
- Coordinate special projects including events and all-hands meetings, including meeting logistics, communications, and PowerPoint presentations exercise discretion.
- Energetic, positive, proactive, collaborative, and can-do demeanor in a fast-paced global environment.
- Exceptional ability to prioritize conflicting demands and make decisions with little direction.
- Excellent communication (written and verbal), and timely follow-through.
