This role manages the relationship with a variety of stakeholders by representing the CFO & COO in the best interest of the company internally and externally. The Executive Assistant will act as integral part of the leadership team by focusing on the CFO & COO's time on pertinent business goals when prioritizing conflicting needs / requests and proactively solves problems with strong independent decision-making capability, often with deadline pressures. This role will apply awareness of business strategies and goals when managing complex calendars with creative time management skills to prioritize their time and provide strategic support to enable the CFO & COO to maximize their efficiency and productivity. This role will utilize broad knowledge of corporate operations, policies with high level of experience and technical skills. Operate with a great independent judgement and initiative. Complete high volume complex tasks autonomously and simultaneously, with high attention to detail. Communicate and respond effectively and efficiently, while maintaining flexibility and operate with intercultural awareness.
Key Responsibilities:
- Manage necessary calendar adjustments, with foresight and confidence, as required by ever changing business needs to ensure the CFO & COO offices are fully functioning to perform strategic goals and operative targets.
- Work directly and independently with key internal business topic owners in assigning tasks for creating, compiling and analyzing meeting and workshop advance documentation for the briefing of the CFO & COO. Monitor performance, completion of tasks and deliverables to assist CFO & COO to be optimally prepared for upcoming engagements. Use assertiveness with team if needed to remind them of approaching deadlines.
- Work and communicate closely & effectively with the CFO & COO to keep them well informed of upcoming commitments, responsibilities and reminds them of upcoming deadlines for tasks and to ensure that all projects are up to date.
- Arrange complex domestic and international travel plans, itineraries and agendas, including compiling of documents for travel-related meetings.
- Actively practice quality assurance of all travel arrangements. Prepare expense reports in a timely, accurate manner and under observation of Corporate policies and guidelines.
- Take proactive approach to the role in order to identify and solve for potential challenges related to scheduling, travel and other daily activities before they arise.
- Plan, coordinate and ensure the CFO & COO's daily schedules are followed and respected.
- Manage schedules seamlessly across domestic and international time zones to leverage the best outcome for the CFO & COO.
- Be available whenever necessary to make last minute travel changes in an emergency situation (outside of regular office hours).
- Arrange in house as well as outside meetings following corporate guidelines and documentation according to compliance rules.
- Investigate priorities and follow up on incoming issues and concerns addressed via e-mail, text, regular mail or by phone, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, response or alert the CFO or COO if matter needs their attention.
- Compose, prepare, proofread, outgoing correspondence of CFO and COO offices to BMW AG Board Members, dealer partners and other important business partners.
- Maintain excellent network with BMW AG Board Members' and Bereichsleiters' Executive Assistants to establish trust and confidence in the relationship to the NSC, to obtain support and short notice appointments when required.
- Ensure that regular communication is facilitated between CFO & COO and their first-line reports.
- Translate German correspondence when needed.
- Responsible for Purchase card, including reconciliation.
- Work on special projects pertaining directly to matters affecting the CFO & COO offices directly.
- Occasionally assist with event management of business summits or high-level visits to BMW of North America's headquarters.
- Demonstrate strong analytical skills and interest to seek out improvement processes to maximize efficiency.
- Perform other related duties/projects as required.

The pay range for this role is: $74,831.00 - $87,642.00.
The selected candidate's education, skills, experience, and location will be used to determine the final salary offer. All pay ranges are based on a full-time work schedule. This statement is in accordance with state and local pay disclosure requirements.

- Associates degree or Secretarial school graduate
- 5-7 years of experience as senior assistant
- Proficiency in Microsoft Office
- Strong verbal and written communication skills in both German and English
- Independent, self-motivated worker with initiative and the ability to work with minimal supervision.
